 Editing a Report

It is now possible to edit your report data using the Report Writer. You can also change the layout of the report. The most important functions of the layout design are summarized below.

Summation levels

In the report screen, you can use the menu sequence Start of the navigation path View Next navigation step Summation level Next navigation step to specify the number of summation used to calculate total values. All totals that do not lie within the specified interval will be hidden. A summation level corresponds to a hierarchical level (for example, material level). Summation level 1 is the lowest hierarchical level. Summation level 2 is the next level up, and so on. The individual values are on the summation level 0. End of the navigation path

The summation levels can be specified both universally (for the entire report) or locally (for specific blocks of rows). In this case, the local settings overwrite global values.

Report views

If a report is displayed on the screen, the Report Writer will then set page breaks so that exactly one page fits into the current window. This view will be defined as the standard view. As the Report Writer always processes exactly one page, you can only use the page keys and page icons to page up and down; the scroll bars cannot be used.

The page view can be determined via Start of the navigation path Settings Next navigation step Page view End of the navigation path . The page breaks in the page view correspond to those defined in the report layout.

Hide and show rows

The function Start of the navigation path Edit Next navigation step Hide rows Next navigation step exclude certain preselected areas of your report from the display. You can undo this command with Next navigation step Edit Next navigation step Show rows. End of the navigation path

Expanding and collapsing report rows

Start of the navigation path View Next navigation step Hierarchy Next navigation step Collapse Next navigation step allows you to hide the report rows of the sub-trees that are located underneath. Next navigation step View Next navigation step Hierarchy Next navigation step Expand Next navigation step allows you to undo this command level by level. End of the navigation path

If you want to display all the report rows that were hidden by collapsing the hierarchy or restricting the summation levels, select, Start of the navigation path View Next navigation step Hierarchy Next navigation step Expand all. Next navigation step View Next navigation step Collapse all Next navigation step allows you to reduced every row block to the highest summation level. End of the navigation path

Texts and Annotations

You can create an annotation for your report.

Select: Start of the navigation path Extras Next navigation step Annotation. End of the navigation path

You branch into the text editor of the Report Writer.

Via the menu sequence Start of the navigation path Settings Next navigation step Texts, Next navigation step you can create and format a title page, the last page, as well as headers and footers using word processing functions. End of the navigation path

For example, you can store variables in the header for the author of the report, the date of the selection or the name of the person who last changed the report.

Layout parameters

Using the menu sequence Start of the navigation path Settings Next navigation step Layout Next navigation step you can specify the page format, display form, rows and columns of the report according to your needs and you can determine the settings for the graphics function. You can make these layout settings with Next navigation step Report Next navigation step Save settings. End of the navigation path

To set the column width of the key column and the other columns, select Start of the navigation path Settings Next navigation step Column width. End of the navigation path

Setting the threshold value condition

You can set a threshold value condition in a report in order to hide or highlight lines depending upon the number values in a reference column.

In order to save a threshold value requirement, select Start of the navigation path Edit Next navigation step Threshold value. End of the navigation path A dialog box appears. Specify the following parameters:

  • Condition (relation to the threshold value)

  • Threshold value

  • Reference column (number of the column to which the threshold value requirement refers)

To ignore the +/- sign during a check, select the indicator Ignore +/- sign. This is useful, for example, if you want all of the lines in a report to be highlighted, for which a deviation, either positive or negative, exceeds a certain threshold value.

Sorting

The report can be sorted. Sorting retains the sequence which is specified by the summation hierarchy. Only those report lines are sorted that are in succession and have the same summation level. If the report was set so that only the lines of a summation level are displayed, then these lines will be continuously sorted. Only those lines from the current section of the report are sorted. The reference column according to which sorting is done, will then be marked with a symbol in the column heading.

To start the sort function, position the cursor on the column to be sorted and select Start of the navigation path Edit Next navigation step Sort in ascending order End of the navigation path or Start of the navigation path Edit Next navigation step Sort in descending order End of the navigation path . In order to restore the original sequence of the report lines, select Start of the navigation path Report Next navigation step Remove sort sequence. End of the navigation path

Saving selected date

You can save the selected data from the report. To do this, select Start of the navigation path Report Next navigation step Save data. End of the navigation path

Sending reports

With the Start of the navigation path Report Next navigation step Send Next navigation step command, you can send a report within the R/3 system via SAPoffice. The only condition is that the End of the navigation path Save data permanently indicator was selected, which is in the selection screen for executing the evaluation (see Executing an Evaluation With a Selection ).

Output of reports

You can output a report in several ways:

  • Printing

Select Start of the navigation path Report Next navigation step Print. End of the navigation path

A dialog box appears where you can specify whether the current page or the entire report is to be printed. If you want to print the complete report, the number of lines per page will be taken from the report layout. To show additional options for the printing function, use the More options key. (page selection, number of lines per page, page length).

  • Exporting

This report allows you to file your report under a specified name and to control the medium (application server or presentation server) used to output the report.

A window appears in which you can assign a file name and define the output parameters.

  • Graphics

You can issue certain preselected areas of your report as graphics.

To do this, proceed as follows:

  1. Select the areas of your report to be graphically displayed

  2. Select Start of the navigation path Goto Next navigation step Graphics Next navigation step . End of the navigation path

The first screen to appear is the graphics type that you determined with Start of the navigation path Settings Next navigation step Layout Next navigation step Page/control Next navigation step . End of the navigation path

Selection Log

By selecting the menu sequence Start of the navigation path Extras Next navigation step Selection log Next navigation step you can display a selection log for the report. In the selection log you will find technical information on the report (for example, selection criteria, statistical data for the table, statistics for record processing, runtime, etc.). You can edit the reports that were created with the flexible analyses still further. To do this, you can branch from the displayed report into other transactions of the Report Writer. You can find more information about this in the document FI-GLX-Report Writer .
