Purpose

You can use the function "Planned Items" in two scenarios.

 

To enable items to be processed in the current account system that have a posting date in the future and that were supplied by an external payment transaction system.

To enter a payment item online but then to post it after the current posting date.

Process Flow

Scenario a): Payment items supplied from an external payment transaction system

...

       1.      The item is supplied to the current account system by the payment transaction system.

       2.      The item is temporarily saved in a table and is given the status "Planned". It must not be a routing item.

       3.      You can display the saved item in an overview at any time. Choose Account Management ® Planned Item ® Display. This overview lists all items whose posting date is in the future. By double-clicking on the item number you can display the details.

       4.      To post the item, an executable program (report RFBKTMP1) compares the posting date of each item with the current posting date. If the posting date of the item is before or on the current posting date, the system posts the item in the current account system. The "planned item" is now processed normally, meaning the following applies:

                            a.      If there are no errors during the material check, the item is given the status "Posted".

                            b.      If the material check fails, the item is given the status "Parked". Choose Account Management ® Payment Item ® Postprocess to process the item, and then post it.

                            c.      If the account to which the item is to be posted is "locked for Euros", the item is saved in a table, and then another report (RFBKENQ1) reads the table and posts the item. You need to schedule the RFBKENQ1 report at least once daily. See also: Process Flow of End-of-Day Processing

You need to schedule the RFBKTMP1 report daily (each morning).

 

Scenario b): Payment items entered online

...

       1.      You enter the item with posting date in the future by choosing Account management ® Planned Item ® Create.

       2.      The item is temporarily saved in a table and is given the status "Planned".

       3.      You can display the saved item in an overview at any time. Choose Account Management ® Planned Item ® Display. This overview lists all items whose posting date is in the future. By double-clicking on the item number you can display the details.

       4.      To post the item, an executable program (report RFBKTMP1) compares the posting date of each item with the current posting date. If it is on or before this posting date, the item is posted in the current account system. The "planned item" is now processed normally, meaning the following applies:

                            a.      If there are no errors during the material check, the item is given the status "Posted".

                            b.      If the material check fails, the item is given the status "Parked". Choose Account Management ® Payment Item ® Postprocess to process the item, and then post it.

                            c.      If the account to which the item is to be posted is "locked for Euros", the item is saved in a table, and then another report (RFBKENQ1) reads the table and posts the item.        5.      You can delete items that were entered online. To do this, choose Account Management ® Planned Item ® Delete.
