Use

When you hire an employee (Hiring personnel action), the system recognizes whether personnel assignments have already been created for this employee. The system compares certain personal data (last name, first name, date of birth, and personal identification number if used (P0002_PERID)) with data of employees who have already been created and who have active or inactive personnel assignments.

If active personnel assignments already exist, the new personnel assignment is linked to the relevant employee and the infotype records that have already been created are transferred. Structure linkData sharing ensures that the common data is kept consistent in all assignments. For inactive personnel assignments, you can choose whether you want to perform a Rehiring personnel action or create a new personnel assignment.

Prerequisites

To be able to use employee recognition, you must have entered the following settings in the Customizing for Personnel Administration under Customizing Procedures ® Settings for Concurrent Employment

     In the Customizing section Concurrent Employment for Personnel Administration, you have activated the functions of Concurrent Employment for Personnel Administration.

     In the Customizing section Actions for Concurrent Employment, you have defined which action keys should be used during hiring actions. You assign the action keys that you have defined in the Personnel Actions Customizing section to the logical keys for Additional Assignment or Reentry.

     In the Customizing section Copy Infotypes, you have defined the rules according to which the infotype records of a concurrently employed person are copied, when a new personnel assignment is created for this person.

Features

After you have entered the relevant data in the Recognition Screen, the system checks whether the information is identical to that of an employee who has already been created. If the system finds more than one person, all persons are listed in a display window. You can select the relevant employee from this window. After you have selected a person, the system copies the personal data to the new personnel assignment and links it to this person.

Activities

Two hiring scenarios are possible when you hire a person:

The person for whom a new personnel assignment should be created is known to the adminstrator.

·         The administrator enters the personnel number of the employee in the Actions infotype (0000). He or she then executes the Additional Assignment personnel action.

·         The system copies the employee’s infotypes that can be copied according to the Copy Infotypes Customizing section to the new personnel assignment.

     The administrator edits the infogroup. Data that has been copied to the infotypes appears in change mode and can be overwritten. Consequently, this data is updated in all linked personnel assignments.

The person for whom a new personnel assignment should be created is not known to the administrator.

·         The administrator creates the personnel action Hiring.

·         On the basis of the personal data on the recognition screen, the system recognizes that one or more employees already exist with identical data, and displays a selection list that contains these employees.

·         The administrator selects the relevant employee and determines whether a new personnel assignment should be created for this employee or whether a new position should simply be assigned in the Organizational Assignment infotype.

If a new personnel assignment should be created, the system performs the Additional Assignment personnel action and creates a new personnel number. The infotypes to be copied are transferred to the new Structure linkpersonnel assignment (personnel number).

·         The administrator edits the infogroup. Data that has been copied to the infotypes appears in change mode and can be overwritten. Consequently, this data is updated in all linked personnel assignments.
