Process documentation PDC Scenario Inventory Locate the document in its SAP Library structure

This scenario helps you to count articles in a physical inventory. The aims of the scenario are, among other things, to meet the legal requirements of a physical inventory and to ensure that the book balances in the system are as precise as possible. Using this scenario, you can conduct partial inventories (physical inventories of a limited number of articles) or full inventories as often as required within a business year.

The scenario allows you to inventory articles either on a quantity or a value basis. When you inventory the articles on a quantity basis, the expected count result is a quantity of articles, and when you inventory the articles on a value basis, the expected count result is a retail value. A special feature of the interface is that it allows value-only articles to be expanded into the single article below, thus enabling a PDC count on a single-article level.

Prerequisites

The scenario is subject to the same prerequisites as the physical inventory in SAP Retail Store.  In particular, you have to carry out value- or article-based inventory management for the relevant store in the ERP system.

To use the RFC/IDoc-based PDC procedure, you have to select the PDC procedure Mass Processing in Customizing for the SAP Retail Store Inventory (Logistics General ® SAP Retail Store ® Inventory ® Basic Settings for the Inventory).

Procedure

The general procedure for a physical inventory using SAP Retail Store and the IDoc interface WVINVE03 is as follows:

       1.      Anlegen von Inventurbelegen

In this step, you set the general data for the physical inventory, including the articles to be counted and the planned inventory count date. As an option, you can assign an inventory number manually and use it as a bundle criterion for the created physical inventory documents at subsequent stages of the inventory.  You can also create the physical inventory documents in such a way that only articles from a specific material group appear in a document (these are known as material-group-exclusive documents). This makes it easier to carry out the physical inventory.

       2.      Send the physical inventory documents

You send the physical inventory documents together with the required master data in the IDoc WVINVE03 using the RFC/IDoc-based PDC procedure. These documents form the basis for the inventory count.  One IDoc is created for each physical inventory document. The interface retains each IDoc as an XML file when you use a connector to transfer files.

       3.      Inventory count with PDC units

You can now carry out the inventory count of the previously received physical inventory documents using the PDC units by entering a quantity counted per article.

       4.      Send inventory count results to the ERP system

When counting is finished, the count results are transferred from the PDC unit to the ERP system in the IDoc WVINVE03.Important: Each IDoc must only contain the count for one physical inventory document, and the physical inventory document number must be entered in the IDoc header segment.    Several IDocs can be created for a physical inventory document if the articles it contains are counted more than once.  When the inbound IDocs have been posted in the ERP system, the quantities counted are entered in the physical inventory documents. Articles that have been counted more than once, such as those in multiple stock placements, are added automatically. Any error messages that appear are logged in the SAP Retail Store (PDC monitor inventory).

Special features of articles that are inventoried on a value basis:

     Value-based inventory and expansion of value-only articles

Inventory management in SAP Retail allows you to inventory stocks of articles in a particular merchandise group both in a summary and a value-based manner for a value-only article in a material group.  In an inventory of this kind, the value-only article is included in the physical inventory document. When you send the physical inventory document in the IDoc WVINVE03, you can send the individual articles in the merchandise group to the PDC unit (if the option Expand Value-Only Article has been selected in Customizing for the SAP Retail Store inventory.) You can use the PDC unit to enter individual article quantities and send them back to the ERP system.  The retail value is calculated in the system in accordance with the conditions for the individual article quantities and accumulated as the inventory count result for the value-only article item in the physical inventory document.

     Value-based inventory management without expanding value-only articles

If the option Expand Value-Only Article has not been selected in Customizing for the SAP Retail Store inventory, the value-only article in the IDoc WVINVE03 is sent to the PDC unit at the same time as the physical inventory document.  In this case, the retail value of the value-only article has to be entered using the PDC unit and transferred to the ERP system as an inventory count result in the IDoc WVINVE03.

Result

The quantities calculated with the PDC unit are entered in the physical inventory document. You can then use SAP Retail Store to analyze inventory differences. The physical inventory is concluded when the inventory differences have been posted.
