When an approval workflow is configured for a page, page authors cannot publish the page directly but must receive approval from one of the defined approvers. When approvers approve the changes, the page is published automatically. If more than one approver has been defined for the page, the first approver to process the request determines the status of the page.

Procedure

Page Author
  1. When the page is ready to be published, choose Publish (Publish).

    A new notification message is created containing a link to the design time page. The approvers that were defined for this page are automatically added to the To field.

  2. Provide a description of the page or of any changes that were made to the page and send the notification.

  3. Optional: To cancel the request for approval, choose Cancel approval request (Cancel approval request).

    Notification is sent to all approvers.

Approver
  1. Open the page using the link provided in the notification.

    The page opens in the editing environment.

  2. To approve the page, choose Approve page (Approve page).

    The page is published automatically.

  3. To reject the page, choose Reject page (Reject page).

    This changes the status of the page to Approval Denied. A notification message opens where you can specify the reasons for rejecting the page and send them to the author. The page author then makes the necessary changes and resubmits the page for approval.
