Manual Classification of Individual Documents
This section describes how to classify an individual document. You use this function after creating a new document.
You can classify a document as belonging to more than one category. The classification of a document can be changed at any time.
This function is only available if a classification index is available for the document. This means that the document must be in a data source that is assigned to a classification index. An administrator makes the assignment in index administration. For more information, see Assigning Data Sources.
To classify a document, you need write-permission for the document and for the taxonomy folder in question.
You check the result of automatic classification and can assign a document to further categories. To carry out manual classification, choose in the Details dialog box for the document in question. The dialog box is divided into the following areas:
Assigned Categories
Under Assigned Categories you can see the categories into which the document is classified. A document can be classified as belonging to several categories.
To remove the assignment of a document to a category, remove the category from this list.
Suggestions
The system supports you in finding suitable categories. When you open the classification dialog box, the system analyzes the contents of the document and defines a list of categories that are likely to be suitable for it.
Select the relevant categories and deselect the categories that are not suitable. Then choose Add Categories. The selected categories are then displayed under Assigned Categories. Choose Save.
Click on Add to find additional categories.
When you classify a document manually, it belongs to a training set. From this point on, the document influences the results of automatic classification.
With query-based classification, each document has a relevancy value of 100% (document matches search query) or 0% (document does not match search query) for a category.
If you have switched on automatic classification, a document is automatically classified into all categories whose search query it matches. No proposals are displayed. However, there are the following exceptions:
A document has been automatically classified, but you cancelled this classification manually. In this case, proposal categories are displayed.
You have created a new category and formulated a search query, or you have changed the search query of an existing category. However, you have not yet carried out an update of the taxonomies. If the document corresponds to the search query, the category is displayed as a proposal.
Note
Assignment only takes place when you carry out an update in the taxonomy query builder.
If you have switched off automatic classification, all categories into which the document fits according to the search query are displayed in the Details dialog box of the document in question.
