The Classification Inbox iView provides an overview of unclassified documents (documents that were not assigned to a category when automatic classification took place). This overview takes the form of a worklist for the person or people responsible for the classification of documents in a taxonomy. You can classify documents from the worklist directly into the categories of a taxonomy.

This iView also allows the reorganization of the classification of documents within a taxonomy.

You can use the classification inbox for both example-based and query-based taxonomies.

Prerequisites

You can only display a taxonomy and the corresponding worklist in the iView if you have write permission for the root folder of the taxonomy.

For classification, you need write permission for the documents and the taxonomy folder.

Classifying Documents from the Worklist (Documents to be Classified)

If a document has not been assigned to a taxonomy category during automatic classification, it is displayed in the list of documents to be classified. This list represents a worklist.

Note Note

The list only contains documents that are contained in the classification index of the taxonomy in question. Which documents are displayed also depends on the permissions of the user in question (see below).

Before you classify a document, you can display its contents and its Details dialog box.

The taxonomy is depicted in the form of an overview tree on the left-hand side of the iView. You can navigate in the taxonomy and select the categories into which you want to classify the document.

You can classify documents as belonging to more than one category. The list displays the number of categories each document has already been classified into.

Note Note

When you classify a document manually, it belongs to a training set. From this point on, the document influences the results of automatic classification.

Documents Never to Be Classified

Some documents do not match any of the categories of the taxonomy, or should not appear in the taxonomy. Choose Never to Classify to remove such documents from the worklist and from all categories into which they have already been classified. These documents are now displayed in a list of documents that are never to be classified. The list has the following purposes:

  • You can find documents that have been marked as never to be classified. You can see an overview of which documents are affected.

  • You can still choose to classify these documents if the need to do so arises.

    Note Note

    A document can only be manually marked as never to be classified. Documents are not automatically assigned to the list of documents that are never to be classified.

Filtering Lists

The lists of documents to classify and documents that are never to be classified can contain a large number of documents. You can use the dropdown list Path to restrict the view to documents in a certain folder. The folders are displayed in a hierarchical structure in the dropdown box. The number of documents in each folder is displayed (including documents in subfolders). If you select the uppermost field, all documents are displayed.

Note Note

The dropdown box is not displayed if there is only one folder (or no folder) that contains unclassified documents for the chosen taxonomy.

Note Note

To improve the clarity of the list, restrict the maximum number of documents to be displayed in the iView personalization parameter Max. No. of Documents in Inbox.

To improve the clarity of the folder structure in the dropdown box Path, only folders containing at least a minimum number of documents to be classified are displayed. You can set this number in the iView personalization parameter Min. No. of Documents per Folder in Documents to Classify).

Reorganizing a Taxonomy

When you are in a taxonomy, you can click the name of a category to display a list of all documents that are classified as belonging to this category. You can remove the classification of these documents, or you can assign them to other categories.

Functions

The following functions are available in the worklist (Documents to Classify) and in the list of documents in a category:

Classify

The document is classified.

If you run this function in the Documents to Classify worklist, the document is removed from the Documents to Classify worklist.

If you carry out this function in a category, the document remains in the category in question.

Classify and Remove

(worklist only)

This classifies the document and removes it from the worklist.

Reclassify

(category only)

This classifies the document into the selected categories and removes it from all categories to which it was previously assigned.

Declassify Here

(category only)

This removes the document classification from the current category. The document can still be classified in other categories. If it is not classified in other categories, it is moved to the worklist.

Declassify Completely

This function removes all classification for a document in the current taxonomy. The document is moved to the worklist and remains there.

Never Classify

This moves the document to the list of documents never to classify. All classifications for the document in the current taxonomy are removed, and the document is removed from the worklist.

Support for Several Taxonomies

If you have created more than one taxonomy in your system, each taxonomy has its own worklist. If you have more than one taxonomy, a dropdown list field is displayed in the top left-hand corner of the iView. You can use this list to toggle between the existing taxonomies. The taxonomies that you can choose from depend on your permissions.

When you toggle to a new taxonomy, the system determines the list of documents to be classified for the current taxonomy.

The dropdown list field is only displayed if your system has more than one taxonomy.
