Procedure documentationManaging Tasks with the BPM Inbox Locate this document in the navigation structure

 

You use this procedure to view the tasks that are assigned to you and perform one of the following operations on a task at a time:

  • View a task

  • Claim a task

  • Release the task which is reserved for you

  • Complete a task

Prerequisites

You are assigned to the UnifiedInboxUserRole UME role and the com.sap.bpem.Enduser portal role. For more information, see Authorizations and Roles for BPM Inbox.

Procedure

  1. Log on to your BPM Inbox using the URL, https://<server>:<port>/bpminbox.

    Your open tasks are displayed in the BPM Inbox by default. To view tasks in other categories such as My Completed Tasks, My Overdue Tasks, or My Escalated Tasks, select the required option from the Task Selection dropdown list.

  2. To view the task details, select the task name from the task list table. For more information on processing tasks, see Task Execution User Interface.

  3. To view a specific number of rows in the task list table, choose Settings from the toolbar and select appropriate number of rows from the Table Row Settings dialog box.

  4. To claim a task which is assigned to you, and complete it or release a task to some other person, select a task in the task list table.

    The Claim, Open, or Release option is enabled or disabled based on the status of the selected task. The detailed information on each task status and possible actions are explained in the table below:

    You can also execute actions on multiple tasks that have the same status. To do so, select multiple tasks (Ctrl+Select) and choose the appropriate action button. For example, to complete multiple tasks, select two or more tasks from the task list table and choose Open. The task execution user interface is opened with multiple tasks. You can navigate to a specific task using the previous and next navigation icon and perform required action and complete the tasks.

  5. To filter the tasks, choose the Filter option and select the required criteria. To view custom attributes, choose Filter and select the Task Type. The task list table displays the custom attributes for the selected task type.

  6. To view custom actions of a task in table view, choose the filter and select the task from the Task Type list. The system displays the custom actions along with the other actions for the selected task.

    The custom actions help the user to perform certain additional actions on a task. The custom actions are designed for specific tasks. According to the options, the user can perform additional actions on a task. For example, the Review and Approve article task type has custom actions such as approve, reject and other opinion.

  7. To view custom actions of a task in stream view, select the stream view icon. Choose the filter and select the task from the Task Type list. The system displays the custom actions along with the other actions for the tasks.

  8. To open a task in a new window, click the task link + Ctrl key.

  9. To open a task in a new tab, click the task link + Shift key.

  10. To open the BPM Inbox page with the tasks displayed in the table view, add the following parameter, “&sap-ui-inbox-defaultView=sap_inbox_list” to the URL .

  11. To open the BPM Inbox page with the tasks displayed in the stream view, add the following parameter, "&sap-ui-inbox-defaultView=sap_inbox_stream" to the URL.
