Managing Folders and Objects in the Gallery

Use

In the Guided Procedures (GP) gallery, you can:

Switch between the standard list and detail view of the gallery
Create, edit, clean up, move, and delete folders
Create, edit, and delete objects
Copy and move objects to a selected location in the gallery
Restore or purge deleted objects
Search for development objects in the gallery

Prerequisites

You have launched GP design time.
You are authorized to manage GP content.

Procedure

Toggling Gallery View

To switch from the default list gallery view to the accessibility view, choose (Switch to detail view). To switch back to standard view, choose (Switch to list view).

Managing Folders

To create a folder:
1. Choose Create Folder.
2. Enter a name and description for the folder. If other folders already exist, and you have selected one of them before starting the procedure, you must also choose if you want to create the folder in the selected or in the root folder.
3. Choose Create.
To edit a folder:
1. Select the folder and choose Edit Folder.
2. Apply relevant changes to its name or description.
3. Choose Save.
To move a folder:
1. Select a folder, and choose Cut.
2. Browse the gallery and select the folder to which you want to move the item.
  If you want to move the folder to the root level, choose Public Folderfirst.
3. Choose Paste and Refresh to view changes.
To clean up a folder, select the folder (or multiple folders) and choose Cleanup Folder.
The system inspects all objects in the folder and marks as eligible for deletion the ones that are not referenced by any other objects and do not have references to other objects.

To confirm object deletion, choose Clean-Up. Deleted objects are sent to the Deleted Items folder.
To delete a folder, select it and choose Delete.
All objects in the folder are deleted as well. Optionally, you may choose to delete all children of the objects in the folder.

Managing Objects

To create an object, choose the relevant option from the contextual navigation panel.

To edit an object, select it in the gallery and choose Open on the right-hand side of the folder tree.

To copy an object, use the copy wizard, which allows you to reuse processes and their components in two basic ways.

To move an object, select it and choose Cut. In the destination folder, choose Paste.
To delete an object, select it and choose Delete. The following options are available:
- Delete the object.
  In case the selected object is referenced by other objects, these objects are deleted as well.
- Delete the object with all its children.
  This option deletes the object itself, all child objects that it refers to, as well as all objects that have a reference to the selected object.
  
  Note
  When deleting GP objects, the system always counts references to the selected object, that is, objects that use the selected object. In case you have used the copy wizard to copy objects as references, have in mind that deleting original objects affects the references used in the structure of the object copy. On the other hand, deleting object copies that have references to original objects may cause the deletion of the originals.

Restoring and Purging Deleted Objects

Open the Deleted Items view.
To restore an object:
1. Select it, and choose Restore.
  
  Objects that are not activated after their creation and are deleted, cannot be restored from the Deleted Items folder because they are permanently deleted.
2. Select the location, to which you want to restore the deleted object, and choose Restore.
To purge an object:
1. Select it, and choose Delete.
2. Follow the procedure for object deletion as described above.
  Note
  Objects used in initiated processes cannot be deleted permanently, unless you enable the Enforce Delete from Trash option. If you delete an object that is being used in a currently running process, the GP runtime is not able to find the object and informs you with the following error message: Failed to retrieve processes; contact your system administrator.

Search for Development Objects in the Gallery

Open the Search View and in the text field in the upper right corner type a search term (for example
```
a*
```
).
From the dropdown menu select whether you want to search by development object's Title or Description. Choose Go or open the Search View.
Select a development object from the result list to view its details and open its design time.
Choose Refresh to perform a search with the selected search term again.
