Broadcasting BEX Objects to the Portal 

Use

You can broadcast BEx objects (queries, query views, Web templates, reports, or workbooks) to the portal. You can choose either to put the BEx objects in a collaboration room as precalculated documents or online links or in a KM folder .

The Personal Documents and Public Documents KM folders are particularly useful. If you have assigned the Business Explorer role in the portal, you can access these from the My Portfolio and BEx Portfolio iViews.

Working with Documents

You can use various Knowledge Management functions when working with documents in the portal. You can add ratings, evaluations, feedback, and personal notes to documents.

Collaboration Functions

If you use the collaboration functions, you can hold discussions with colleagues or work together in collaboration rooms on the basis of the precalculated documents or online links. Using subscriptions, you can be automatically notified of any changes to a document.

Prerequisites

You selected Broadcast to Portal as the distribution type when creating the broadcast setting.

Your system administrator has set up distribution to the portal by creating KM folders and collaboration rooms in the portal.

Procedure

Setting the Target in the Portal

Make the following settings on the Target in Portal tab page:

●      File Name: Enter the technical name under which the document is to be saved - either manually or using a text variable (by choosing  with the quick info text Attach Text Variable).

●      Authorized User: If you schedule the broadcast setting in the background (for example for a certain time), you can enter a BW user name either manually or using the  Selection.

The system generates the document with the settings (for example, date format) and authorizations of the specified user.

If you want to distribute the broadcast setting immediately, the system generates the document using the authorizations and settings of the user who is currently logged on to the system and who defined the broadcast setting.

●      Language: If you schedule the broadcast setting for background processing (for a specific time for example), you can select the language that the document will be generated in.

The system offers you all languages currently installed in the BW system.

If you want to distribute the broadcast setting immediately, the system generates the document using the logon language of the current user who is logged on to the system and who defined the broadcast setting.

●      Export Document to: You can store the document in the personal portfolio of selected users or in any other KM folder.

○       My Portfolio: Enter the BW user names of the recipients using  Selection separated by semi-colons.

The document is stored in the users’ personal portfolios.

If you schedule the broadcast setting for background processing (for example, for a specific time), you can generate the document as user-specific. The system generates the document for each of the specified recipients using their personal settings (date format, language) and data authorizations.

If you want to distribute the broadcast setting immediately, the system generates the document using the settings of the current user.

○       Other Folder: Enter the KM folder in which the document is to be stored in the portal by choosing  with the quick info text Selection.

The input help is an iView that displays the My Portfolio, CM Repository View, and Collaboration Room views.

■       With My Portfolio, the system generates a link in Knowledge Management under the user’s personal folder (/~alias~/userhome/<user.id>).

■       With CM Repository View, the system generates a link in the KM folder of your choice.

■       The rooms assigned to a user are displayed under Collaboration Room. The system generates a link in Knowledge Management under the selected collaboration room.

Your system administrator must set up KM folders and collaboration rooms in the portal so that you can choose these from the input help as the target. A KM folder can also be a directory in the file system.

Enter Text

On the Texts tab page, you can specify the following:

●      Display Name: Enter the name manually or using a text variable (by choosing  with the quick info text Attach Text Variable).

The document is displayed under this name in the portal, for example in the BEx Portfolio.

●      Importance: Choose the importance (low, medium, high) that is to be stored as a property of the document and then displayed in the portal, for example in the BEx Portfolio.

●      Description: Enter a short content-based description of the document or select a text variable (by choosing  with the quick info text Attach Text Variable).

This description is stored with the document and displayed in the portal, for example in the BEx Portfolio.

Making Additional Settings

You can also make settings on the Filter Navigation, General Precalculation, General Link Generation, Layout, and Header/Footer tab pages.

The tab pages are context-sensitive and are displayed depending on the selected output format.
