Procedure

       1.      Open the e-mail with which you were informed that the planning session was started and click on the link contained in it to start the Web browser.

Depending on how your system environment is configured, a dialog box is displayed that requests you to enter your logon data. (Also see Maintaining Web Services for STS.) This concerns the user names and password for the SAP System in which you operate BW-BPS.

       2.      The system displays the overview page of the planning session in the Web browser. This is personalized for you.  Select the task that you want to edit.

If only one task exists, the overview page is not displayed. Instead, you go straight to the detail page for processing your task.

       3.      Choose Open Planning to start the planning application for data entry that is assigned to your task. The planning application is started in a new browser window.

       4.      Execute planning and save your changes.

       5.      Switch to the browser window again in which the page to edit your task is displayed.

       6.      If a control report exists for your area of responsibility, choose Open Report to view the result of your planning. (Also see Determining Date, Person Responsible, Layouts) The control report is started in a new browser window.

       7.      Set the status of your task corresponding to the degree of processing achieved:

·         Choose In Process to signal to your superior that you have started to edit your task but have not completed it yet.

·         Depending on the planning direction, you choose Send for Approval (with a bottom-up planning session) to request that your superior checks the results of your planning and, where necessary, approves them.   Choose Completed and Released (with a top-down planning session) to request that the persons responsible who are directly below you start their planning.

Note

With a bottom-up planning session: You can set a task back to status In Process even if you have already set the status Send for Approval. To do this, use the Reset button. As a result of this, you cancel the change lock for the data concerned at the same time. In addition, this status switch triggers a notification that is sent to the superior.

Note

With each non-cascading status switch, the system automatically:

·         saves the status and (depending on the status change)

·         sets or lifts the lock for the selected area of responsibility

·         triggers the automatic notification system of the Status and Tracking System, if it has been activated. See: Executing Customizing. Notifications assigned to a status are sent by e-mail. See Adjusting Notification Texts.

·         starts the global planning sequence for this status switch synchronously or as a background job. This happens as long as global planning sequences have been activated (see Executing Customizing) and a global planning sequence has been assigned to this status switch and your area of responsibility (see Executing Global Planning Sequences upon Status Switch).

       8.      Where necessary, enter Comments for your area of responsibility and, if you are a superior, for the employees who report to you, in order to record any special features. Choose Save to save the comments.

       9.      Choose Log Off to close the Status and Tracking System.

Note

It is important that you log off from the planning session explicitly since otherwise the connection to the SAP System application server is kept and the planning objects you used remain locked.
