Use

Payment items are generally created by payment transactions during payment order updates, or transfers from the payment transaction system. In Account Management, however, you can also manually create payment items for internal postings.

Prerequisites

You have adapted the payment item update to suit your requirements in the Customizing settings, under Item Management ® Basic Functions ® Transaction Types and Transaction Type Groups ® Maintain Transaction Types for Payment Items. This applies to the transaction types, for example, that you can select when you make a manual posting (SAP has defaulted the following: cash withdrawals, cash deposits and miscellaneous expenses (goodwill posting), payment note display, or the checks that are run before the posting).

You have defined which release procedure the updating of payment items is to be based on by choosing Item Management ® Basic Functions ® Release.

Procedure

...

       1.      From the SAP Easy Access screen, choose Account Management ® Account ® Turnovers, Balances and Key Figures ® Payment Item ® Create Payment Item.

       2.      Choose the transaction type for the payment item you want to create.

       3.      Enter the data required for the account and choose Continue.

       4.      Enter the posting amount. The remaining required entries depend on the settings for the transaction type in Customizing. The current posting date is preset, but you can replace this with a later posting date if required. You thus create an item in the future, whereby the number of days in the future also depends on Customizing. You can also enter a comment, by entering payment notes on the Basic Data tab page, depending on the Customizing settings.

If the payment item refers to a prenote, enter its reference number on the References tab page.

       5.      You have the following options for further processing:

¡        Check your entries by choosing Edit ® Check. This involves relevant checks, depending on the transaction type (business partner check, check for the permitted account functions / locks, limit check, check for any specified value date, and checks for existing collection authorizations, direct debit orders and check locks).

¡        Post the item by choosing Posting ® Post. Before posting, Account Management automatically runs the required checks.

You make the settings for the checks in Account Management Customizing under Item Management  ® Posting Control Rules (see also Posting Control Rules). If there are errors in the checks, you have two options in the log display: You can either force the posting, and the system deactivates all the relevant checks, or you can continue processing according to the posting control rules. If you choose the Rule Set button, the system generates a posting control order. When you display the payment item, you can go from the References tab page to the posting control order.

If there are postings that are relevant for an early withdrawal penalty, you can continue processing with or without finding out how much the penalty is. You can also decide whether the current posting is to reduce the amount not affected by the early withdrawal penalty for the account. The system generates an information item for the early withdrawal penalty, and the payment item references the generated information item.

Note

If you have activated the dual, triple or quadruple checks in the Customizing settings, a payment item is initially only parked with the status In Release, depending on the amount, currency, or transaction type. This must then be released by another user with appropriate authorization.
