You can use this function to upload an Intellectual Property (IP) that is a title master and its title relations to an SAP ERP system. The title relations are those assigned to the IP through the Part, Underlying Component, and Title relationships. This is necessary if the corresponding title and title hierarchy information is to be transferred with documents for IPM business processes (rights acquisition contract, rights sales contract, billing document) into the ERP system.

You have determined whether the products involved can be transferred to an ERP system for each product type in Customizing for Customer Relationship Management by choosing Start of the navigation path Master Data Next navigation step Product Next navigation step Settings for the Product Type Next navigation step Allow Upload for a Product Type End of the navigation path. You can enter a basic unit of measure if none has been specified for the product data.

Features

You can manually start the upload of product data into the ERP system specified by choosing Send to ERP in product maintenance.

Title Masters

Data that is relevant to the upload is derived from the following set types:

  • Product header data (COMM_PRODUCT)

  • Basic data on the IP (COMM_PR_IPM)

  • Short texts (COMM_PR_SHTEXT)

  • Long texts (COMM_PR_LGTEXT)

  • Units of measure (COMM_PR_UNIT)

  • Title data (IPM_TITLE)

  • Publication data (IPM_MFORMARKET)

A title master IP that is uploaded into the ERP system is created as a title master in this system. One title master can be created for each logical system. A title master is a specific characteristic of a material master. You define the material type and industry sector with which the title master is created in the ERP system in Customizing under: Start of the navigation path  Industry-Specific Solutions Next navigation step Media Enterprises Next navigation step Intellectual Property Management Next navigation step Master Data Next navigation step Product Next navigation step Make Settings for the Title Masters Upload End of the navigation path.

The system transfers relevant data to the specified ERP system using a remote function call (RFC). Data is edited in the ERP system using the available application link enabling (ALE) interface (message type ISM_MATMAS). No physical IDocs are generated in the IDoc database. Product data is made available in IDoc format and transferred to the ALE inbound module directly.

If the upload is successful, this is noted in a mapping table in the SAP CRM System. This table contains the following information:

  • Product that was transferred to the ERP system

  • ERP system to which the title master was transferred

  • Material number under which the title master was created in the ERP system

  • Material type and industry sector with which the material was created in the ERP system

  • Indicator that specifies whether an additional upload is required

Checks Performed Before the Upload

The system uses the RFC destination to check whether the product has already been transferred to the relevant ERP system and whether a material number that is derived from the product ID already exists before it performs the upload. The following situations can occur when a product is uploaded:

  1. A title master is usually created without internal number assignment in the ERP system. The product ID is used as the material number here.

    1. The mapping table does not contain any entry for the product and ERP system selected and the ERP system does not contain any material whose number is the same as the product ID. This is the standard situation when a title master is created. A title master can be created successfully in the ERP system and the product ID is used as the material number.

    2. The mapping table does not contain any entry for the product and ERP system selected. However, the ERP system does already contain a material whose number is the same as the product ID. In this situation, the system displays the corresponding information in a dialog box. You can decide whether material data in the ERP system is to be overwritten by the title master data or whether a new title master with internal number assignment is to be created in the ERP system. It is not usually advisable to overwrite the material data with the title master data and this should be avoided.

  2. A title master is changed in the ERP system.

    1. The mapping table contains an entry for the product and ERP system selected. Data in the mapping table (material type, material group, industry sector, material category) corresponds to the relevant title master data in the ERP system.

      This is the standard situation when a title master is changed. A title master can be changed successfully in the ERP system.

    2. The mapping table contains an entry for the product and ERP system selected. However, data in the mapping table no longer corresponds to the relevant title master data in the ERP system. This situation can occur if the material type of material group is changed. In this situation, the system displays the corresponding information in a dialog box. Title master data is changed in the ERP system on the basis of the product data. Data in the mapping table in the SAP CRM system is also modified on the basis of the current title master data.

    3. The mapping table contains an entry for the product and ERP system selected. However, the ERP system no longer contains a material with the number listed in the mapping table. The entry in the mapping table is retained even if the material is reorganized in the ERP system and is therefore deleted from the system. The system informs you that this is the case in a dialog box. You can then create the title master again in the ERP system.

Title masters that are created by an upload can be modified in the ERP system. Since SAP CRM-specific data is primarily maintained in the SAP CRM system. SAP CRM product data must not be affected by changes to the corresponding material data in the ERP system. In some cases, however, you may need to change a title master in the ERP system.

If a product is changed during product maintenance after the initial data transfer, the modified product data is not automatically transferred to ERP systems in which the product was uploaded manually. The system sets the UPLOAD_NECESSARY indicator of the mapping table containing material numbers for the products uploaded. To transfer the changes to an ERP system, you must start the COM_PRODUCT_UPLOAD_BATCH program periodically in the background or manually if necessary. You can also perform a manual upload at any time.

If a product is changed in SAP CRM after the initial upload, the changed product data is automatically transferred to all ERP systems to which the product was uploaded manually. The mapping table containing all the material/article numbers created for the products is used to trigger the upload. This means that the data in SAP ERP does not have to be adjusted by a manual upload.

If a specific product cannot be uploaded automatically as a result of errors, the system selects the UPLOAD_NECESSARY indicator in the mapping table. Once these errors have been resolved, you must repeat all upload processes that failed. You can start the COM_PRODUCT_UPLOAD_BATCH program periodically in the background or manually if necessary. You can also perform a manual upload at any stage.

No automatic upload is performed if product data is changed using the application programming interface (API). The system only selects the UPLOAD_NECESSARY indicator in the mapping table. You can start the upload subsequently using the COM_PRODUCT_UPLOAD_BATCH program.

Messages displayed in the ERP system during the upload are listed in the application log of the ERP system. A status message in the CRM system indicates which application log number contains the corresponding message data in the ERP system.

Title Relations

If the upload of a title is processed the title relations to lower-level titles are uploaded as well. The system only creates relationships for which the lower-level title was already transferred to the ERP. An uploaded title relationship is created as a generic object relationship of the ISMTTLREL type. These relationships can be represented using the generic object service Relationships when you display a title master in the ERP system.

If these relationships are changed, the delta upload of the corresponding IP is processed automatically. During the delta upload the existing title relationships in the ERP system are overwritten.

Constraints

The following restrictions apply to uploading titles:

  • If a product is changed in SAP CRM after the initial upload, individual changes to data segments containing more than one data record are not automatically uploaded to SAP ERP. These data segments include set types such as units of measure, and texts such as sales texts.

  • You can only perform an upload for products that were created in the SAP CRM system. These are products whose original system is the SAP CRM system.

  • You cannot use this function to copy several products into an ERP system simultaneously. If products were created in the SAP CRM system during a mass import (for instance using the catalog interface), these can only be uploaded into the relevant ERP system on an individual basis.
