You can automate the settlement of invoice claims by scheduling periodic claim creation. This is useful with long-term trade promotions that you want to partially settle at regular intervals without the accounts having to keep sending invoices.

Prerequisites

  • You have activated the following business functions:

    • In SAP CRM: Claims and Funds Management (CRM_CF_1)

    • In SAP ERP: ERP, Integration with Claims and Funds Management (ERP_CF_INTEGRATION_1) and FSCM Functions 3 (FIN_FSCM_CCD_3) (for integration with SAP Dispute Management)

  • You have configured SAP CRM and SAP ERP (see Configuration for TPM with SAP ERP Enhanced Rebate Processing and Funds and Claims Management). In particular, you have configured the following:

    • In SAP CRM: You have set up factory calendars that define periodicities for settlement (monthly settlement, quarterly settlement, and so on) in Customizing for SAP CRM, under Start of the navigation path SAP NetWeaver Next navigation step General Settings Next navigation step Maintain Calendar End of the navigation path, and synchronized them with the factory calendars used in SAP ERP.

    • The trade promotions referenced by your claims use trade spends that you have set up for SAP ERP enhanced rebate processing, and to which you have manually assigned a settlement period.

    • The validation profile of the trade promotions is set up for the multi-account scenario.

    • The status of the trade promotions is either Released or Finished.

    • You are using a claim type set up for periodic claim creation.

Features

  • From trade promotions that fulfill specific selection criteria, the system creates claims periodically, based on the settlement date and settlement period (monthly settlement, quarterly settlement, and so on) for partial settlement.

  • It defaults the claimed amounts from the accruals that were built in SAP ERP from the sales volume accumulated over the settlement period.

  • You assign the settlement periods to the trade promotions at trade spend level; the settlement periods reference the SAP CRM factory calendar. The SAP CRM factory calendar defines the periodicity of the rebate settlement. A settlement period covers the period ranging from the first non-working day to the next working day. Example: For monthly settlement, all days of all months would be non-working days, except for the last day of each month.

  • Periodic claim creation is available as a job in the SAP CRM batch processing framework. The main selection criteria are: funds plan ID, claiming account, settlement period (optional), settlement date (mandatory).

    Note Note

    The granularity of the settlement period must not be less than a month and must be multiples of a full month. Example: Monthly settlement or quarterly settlement is allowed, while weekly settlement is ruled out by the system in both the periodic claim creation job and the trade spend.

  • The system settles the rebates up to the last day of the previous period. If the settlement date that you entered in the job is already the last day of a period, for example the last day of a month, the system uses this date for the settlement. If the settlement date is not the last day of a period, the system determines the last day of the previous period for the settlement.

Activities

  1. In SAP CRM, create a job of type Periodic Claim Generation.

  2. Use the search criteria account type, planning account, funds plan ID, trade promotion status, settlement period, and settlement date to search for trade promotions with trade spends that can be settled.

  3. Define job scheduling parameters.

  4. Confirm and create the job.

The system creates one claim per account and trade promotion and sets the status of the claim to To be approved.
