Function documentationAssign Employees

You can assign an employee to a territory, to help with the following:

  • Territory determination in business transactions

  • Subscription generation, to distribute sales data to mobile clients using territories as a basis

Integration

You assign an employee to a territory via the employee's position. This makes it easier to assign another employee to the territory in case the first employee is away from office or has left the organization. When you change this information in the organizational model, this is automatically reflected in the territory.

Note Note

It can be useful to view the assignment of an employee to a position in the organizational model while you are maintaining the territory hierarchy. To do this, go to Customizing, Start of the navigation path Customer Relationship Management Next navigation step Master Data Next navigation step Organizational Management Next navigation step Organizational Model End of the navigation path

End of the note.

Features

  • You assign an employee for a specific period, to a territory. For example, you can assign John Smith to a territory for the period of January to June, and Jane Brown for the period of July to December of a particular year.

If the validity period of either the position or of the employee assignment to the position does not correspond to the validity period of the territory, then only the overlapping parts of the two validity periods are taken into consideration.

  • You can also specify in which partner function an employee is assigned to the territory. This function is optional.

For example, if a territory is defined for Boston, U.S., and three employees are assigned to this territory: a sales representative, a marketing specialist, and a key account manager. You can configure the system to ensure that only the sales representative is determined as employee responsible in the business transaction. You can also ensure that data linked to the territory is distributed only to the sales representative and key account manager, but not the marketing specialist in CRM Mobile.

    Note Note

The system displays the partner function when you maintain the territory hierarchy.

To use this function, make the necessary settings in Customizing for Customer Relationship Management by choosing Start of the navigation path Master Data Next navigation step Territory Management Next navigation step Assign Partner Function to Assignment Function Category End of the navigation path.

If you do not need this function, you do not need to do anything; the partner function is not displayed when you maintain a territory.

    End of the note.

Activities

You can assign multiple positions to the same territory. In this case, you can mark the main position to indicate the main person responsible. If you use the partner determination procedure in a business document based on Territory Management data, the system displays the employee of the main position responsible as default. If more than one employee is assigned to this position, one of them is proposed in the business document.

Recommendation Recommendation

When using Territory Management, we recommend that you assign only one employee per position.
