You use this process to distribute leads to a channel partner with the help of a PDF-based interactive form. Important lead data is integrated in the PDF-based interactive form before being forwarded to the external channel partner through an e-mail.

Prerequisites

You have activated the workflow template for lead distribution via Interactive Form (WS 1510054). Note Note

You must make the following settings:

  • For lead distribution from the Portal,CRM_LEADPORT or Lead Processing by External Partner (WS13100008) must be inactive

  • For lead distribution via Interactive Forms,CRM_LEAD_IF or Lead Distribution via Interactive Form (WS15100054) must be active

Process

Workflow Process WS15100054 (Lead Distribution with Interactive Forms)

The workflow Lead Distribution via Interactive Form is started when a brand owner employee creates a lead and saves it with the status Distributed to Partner.

  1. The system first checks that the lead is created without errors and that the recipient's e-mail address is located.

    If the conditions are fulfilled, the system creates an interactive form.

  2. The e-mail with the interactive form is sent out to the partner, who can process the lead (win or lose) or decline it.

  3. The partner chooses Submit to send the response to the brand owner.

    The partner response is validated on the brand owner side and the lead is updated with the information sent by the channel partner. Based on the partner's decision, the status of the lead is set to Won, Lost, or Declined. Additionally, the partner can add partner notes to the document.

The business workflow notifies the partner and the employee responsible (for this lead) if any of the following end conditions are met to make the distribution process obsolete:

  • The lead status Distributed to Partner was set back by the brand owner

  • The sales prospect was changed by the brand owner

  • The channel partner was changed by the brand owner

  • The lead is not error-free

  • There is no partner response within the defined time limit, in which case, the workflow sets the lead status back
