Function documentationIntegration of Defense Forces & Public Security (DFPS)

 

You use this function when investigating complex crimes that may require major resources to create an Operation Organizational Structure (OOS) and link this with a case. You use this function to incorporate operational structures from the component SAP for Defense & Public Security (DFPS) in a connected SAP ERP System in Investigative Case Management.

You can for example enter the personnel resources (such as a group of one hundred staff) in EOS.

Integration

In the OOS associated with a case, you can assign an Operation Project Plan in the assignment block Operation Project Plan for Investigative Case Management. For more information, see Integration of Collaboration Projects.

The graphic below shows the relationships between collaboration projects (in SAP CRM Add-On), operational structures (from DFPS in the SAP ERP System) and Investigative Case Management:

  • If in Investigative Case Management you create an Operation Project Plan using a template, you always also create a Relationship between the operation project plan in the collaboration project and the case.

  • If in Investigative Case Management you create an Operation Organizational Structure using a template, you always also create a Relationship between the operation organizational structure in DFPS and the case.

  • If you assign an operation organizational structure to the operation project plan, they must both refer to the same case.

Checkpoint Group

If during system administration, you want to analyze whether errors have occurred during read and search processes, you can use Checkpoints that can Be Activated (transaction SAAB) to activate a checkpoint group (CRM_ICM_OOS_DFPS_MESSAGES) that is specifically designed for DFPS integration for a user. This user can then view messages about authorizations that are not accessible to the standard user supplied with the role DETECTIVE for security reasons. You should therefore ensure that you do not activate the checkpoint group during production operation of your system.

Prerequisites

  • You have the required authorizations regarding roles and users to be able to create an operation organizational structure.

    Note Note

    The user who is logged on to Investigative Case Management must have the authorization for a trusted RFC connection between Investigative Case Management and the DFPS System (target system for the RFC connection).

    The user logon name in Investigative Case Management must be identical to the user logon name in the target system. For more information, see Trusted System: Trust Relationships Between SAP Systems..

  • You have made the settings required in Customizing for Customer Relationship Management under Start of the navigation path Industry-Specific Solutions Next navigation step Public Sector Next navigation step Investigative Case Management Next navigation step Cases and Leads End of the navigation path. You have met the prerequisites described under Set Up DFPS Integration.

  • The DFPS System contains templates that Investigative Case Management can use to create an OOS. This template may already contain target values for the following:

    • Organizational structure

    • Personnel

    • Material

    To ensure that you can find templates using the search criterion Operation Planner, the operation planner must be assigned to both the template header (operation) and an element in the organizational structure in the DFPS System.

Features

You can edit operation organizational structures as follows:

  • Create

    You can create operation organizational structures from Investigative Case Management using a template. You can use the Search function to select an OOS as a template. The search only determines header elements of operational structures in the DFPS System.

    You must enter a value in the following fields:

    • Operation name

      This entry corresponds to the short text of the structure element (operation) in DFPS.

    • Maximum headcount

      The maximum number of personnel for the operation.

    • Parent Organization

      This is the hierarchy level at which you insert the new OOS.

    • Operation category

      This entry corresponds to infotype 1956 in the DFPS System.

    You can enter a value in the following fields:

    • Operation description

      This entry corresponds to the long text of the structure element (operation) in DFPS.

    • Start and End Date

      This entry corresponds to the operational period in DFPS.

    • Task

      The DFPS System creates an assignment (B007) for the task selected.

    • Operation planner

      The operation planner is linked with the OOS in the DFPS System by the position. The DFPS System creates an assignment (A/B 290) for the position selected.

    • Note

      This is displayed in the descriptive text (Infotype 1002) for the structure element (operation) in DFPS.

    When the DFPS System creates the OOS, it copies all elements below the header element for the template and generates a new header element with the data you have entered.

    Note Note

    Once you have saved a new OOS in Investigative Case Management, it can no longer be edited here. Once the case has been saved for the first time, Investigative Case Management provides a link to display the OOS data in the component Defense Forces & Public Security.

  • Display material readiness and personnel readiness

    You can display the following data about an operation organizational structure in Investigative Case Management that you can only create and edit in the DFPS System.

    • Level of Material Readiness

    • Level of Personnel Readiness

    Note Note

    The values that apply to this traffic light status (green, yellow or red) can only be edited in the DFPS System. When you create an OOS, these fields are initially blank in Investigative Case Management.

  • Change

    Note Note

    You can change data for an OOS on the user interface for the component Defense Forces & Public Security.

  • Delete

    You can delete an assigned OOS for the case selected. You can only delete the entire OOS. You cannot delete any lower-level substructure.

    Caution Caution

    Investigative Case Management only deletes the OOS assignment to the case. The operation organizational structure that you deleted in Investigative Case Management is retained in the Defense Forces & Public Security component.

Activities

Creation of an Operation Organizational Structure

  1. For a case that you select in the assignment block Operation Organizational Structure, choose New. The system opens a search dialog.

  2. Use the search function to determine a suitable template and select this.

    • To display details about a template, click on the link specified in the row.

    • To select a template, click on the row start with the quick info Select Table Row.

  3. Enter General Data about the OOS on the next screen.

  4. Choose Create. The system creates the operation organizational structure with the data entered and assigns it to the case.

  5. Save. The system saves the operation organizational structure in the case and provides a link to the data the OOS contains in the component Defense Forces & Public Security.

Delete an Operation Organizational Structure

  1. To delete an OOS, choose Edit List. The system switches to the change mode and displays the rows with the leading selection column.

  2. Choose the highest hierarchy level (row) for an OOS to be deleted.

  3. Choose Delete.
