Function documentationData Exchange for Activities: CRM Server and CRM Mobile Sales

You can work with activities both in the CRM Server and in CRM Mobile. This means that you can see activities wherever you are, either at your PC in the office or on your laptop computer at a customer site, for example. The activities are exchanged between the systems via Middelware every time an activity is changed, thus enabling you to remain constantly up-to-date with all your activities.

Prerequisites

The following prerequisites must be met in the CRM Server:

  • You have completed the required settings in Customizing for CRM by choosing Start of the navigation path Transactions Next navigation step Settings for Activities. End of the navigation path

As the CRM Server is the leading system, these settings automatically apply to the activities in CRM Mobile.

  • Employees must be created as business partners (type: employee).

  • As the system understands all partners with the partner function category contact person as activity partners, you must indicate the activity partner you want to be transferred to Mobile Sales as the Main partner in the activity.

    Note Note

The system transfers all other partners belonging to the partner function categories contact person and employees (employee and employee responsible).

    End of the note.

The following prerequisites must be met in CRM Mobile:

  • Subscription lists must exist on the administration console for Mobile Sales. Each mobile client must subscribe to Customizing objects, as well as to one or more of the following subscription lists:

    • Activities by employees

    • Activities by business partner

    • Activities by opportunity

  • You must de-activate the Private indicator for appointments, if you want to transfer them to the CRM Server.

Activities

  1. Activities are transferred between CRM Mobile and the CRM Server every time an activity is created, changed, or deleted.

The system transfers all the information contained in the activity, including notes.

    • You can continue to process activities that have already been distributed to another system.

Note that you cannot change the transaction type of the activity once it has been transferred.

  2. The system does not transfer extra addresses for activities from the CRM Server to CRM Mobile.
