Within the business process Sales Order Processing for Service Parts, you directly trigger shipping and delivery through the sales order in SAP CRM. The data in the sales order is not transferred to SAP ECC using data replication as usual; instead the system immediately creates unchecked deliveries in SAP ECC. The unchecked deliveries receive the necessary data such as requested delivery date and -quantity from the sales order.  This business process involves multiple systems, such as SAP ECC, SAP Global Trade Services (SAP GTS), SAP SCM Advanced Planning and Optimization (SAP APO), and SAP SCM Extended Warehouse Management (EWM), and so requires a number of Customizing settings. The following information should help you to make the required settings in the individual systems for the functions and components used within them. 

Prerequisites

The system configuration for service parts management is active. You can find more information about this in the SAP Implementation Guide (IMG) for Customer Relationship Management under Transactions ® Basic Settings ® Activate System Configuration for Service Parts Management.

Cross-System Customizing Settings

Define Transaction Type and Item Category

SAP recommends that you create your own transaction type and item category for this business process. You make the settings in SAP CRM Customizing under Customer Relationship Management ® Transactions ® Basic Settings  ® Define Transaction Types or Define Item Categories.

Note

Note that the business process can only run without errors if you have set the indicator for delivery relevance in the item category used, and assigned the ATP profile for the availability check with SAP APO. If you also use SAP GTS, you must have set the GTS Relevance indicator for the transaction type and item category used.

In addition, you can use sales agreement determination. A sales agreement assigns a product group to a customer for a particular validity period, and defines the scope of the price agreement, for example payment conditions. When a sales agreement is entered and when determination of sales agreements in the sales order takes place, the system checks whether a business partner is authorized to order a particular product within the defined price agreements.

If you want to automatically trigger determination of sales agreements, you must specify a value in the definition of the item category in the Agreement Determination field. This value defines how the system should automatically find and assign a sales- or service agreement when creating a sales- or service order.

The following values are available:

      (Empty) = No agreement determination

      E = Only at item level, assign immediately if unique

The system searches for an existing sales or service agreement when you create a sales or service order. If exactly one relevant agreement exists, the system immediately assigns the order to this agreement.

If multiple agreements exist for an order, the system displays a list with agreements, from which you can select the one that you want to use.

      F = Only at item level, always with selection option

The system searches for an existing sales or service agreement when you create a sales or service order. If one or more relevant agreements exist, the system automatically displays them as a list. You can then choose the agreement that you want to use from this list.

Note

The Agreement Determination field is only shown when you have chosen a mode used for contract determination, that is to say agreement determination can only be carried out in connection with contract determination.

Setting Up Customizing for Organizational Data Determination

You make the following settings for organizational management:

      Maintain Determination Rules

You can create a new determination rule for the business process Sales Order Processing for Service Parts, or use the determination rule ORGMAN_14 with the number 10000144 (rule type: processor determination: organizational model), delivered as standard by SAP.

You make the settings required for this in SAP CRM Customizing under Customer Relationship Management ® Master Data ® Organizational Management ® Organizational Data Determination ® Change Rules and Profiles ® Maintain Determination Rules.

Note

You can use a wizard to create a determination rule of type Organizational Model.  This wizard helps you when creating such a determination rule. You are taken through the program step-by-step when creating the rule.

      Maintain Organizational Data Profile

Create an organizational data profile. The organizational data profile is used to control the automatic determination of organizational data in sales transactions. This means that the system determines the organizational unit responsible from the data in the transaction. You define a determination rule in the organizational data profile, for example, the determination rule 1000144 (ORGMAN_14), delivered as standard.

You make the settings required for this in SAP CRM Customizing under Customer Relationship Management ® Master Data ® Organizational Management ® Organizational Data Determination ® Change Rules and Profiles ® Maintain Organizational Data Profile.

      Assign Organizational Data Profile To Transaction Type

Assign the organizational data profile to the transaction type with which you want to manage sales order processing for service parts.

You make the settings required for this in SAP CRM Customizing under Customer Relationship Management ® Master Data ® Organizational Management ® Organizational Data Determination ® Change Rules and Profiles ® Assign Organizational Data Profile To Transaction Type.

      Assign the organizational data profile to the item category with which you want to manage sales order processing for service parts.

You make the settings required for this in SAP CRM Customizing under Customer Relationship Management ® Master Data ® Organizational Management ® Organizational Data Determination ® Change Rules and Profiles ® Assign Organizational Data Profile to the Item Category. 

Setting Up Customizing for Credit Management

Settings in SAP CRM

You can use the credit management functions within this business process, and thereby limit the financial risks for your company. Credit management makes it possible for you to carry out credit checks in transaction processing, and it forwards documents that are blocked for credit reasons directly to the person responsible, to be checked.

You can execute the following checks:

      Credit Rating Check

The credit rating check checks the solvency of the customer using ratings in the business partner master data. With this check, you can establish as soon as you enter a business partner whether you are permitted to create a sales transaction for this business partner in respect of his or her solvency. The credit rating check determines the rating profile in accordance with the current order’s transaction type. It then reads the sequence of rating procedures, and compares the ratings from the rating procedures with the ratings that are maintained with the payer of the order. If ratings are stored for a rating procedure, and a system response has been defined for these ratings, the system carries out this response (for example, order block).

      Credit Limit Check

The credit limit check carries out a check against the credit limit and the outstanding claims in SAP ECC or another financial accounting system. This check is dependent on the value of the transaction.

The following settings need to be made, among others:

      Define rating procedure

      Create rating profile

      Define handling of ratings

      Maintain credit group

      Assign credit group to item category

      Activate credit check in transaction

(see Define Transaction Type and Item Category)

Note

You must have assigned the rating procedure to the transaction type used (see Define Transaction Type and Item Category) so that the credit check can be performed for a sales transaction.

You also need to have assigned the credit control areas to sales organizational units. You make the settings in SAP CRM Customizing under Customer Relationship Management ® Master Data ® Organizational Management ® Cross-System Assignment of Organizational Units ® Assign Credit Control Areas to Sales Organizational Units. In this IMG activity, you define which credit control area is determined using the characteristics sales organization, distribution channel, and division. This is valid for sales transactions in SAP CRM that are billed using SAP CRM and posted as billing documents in SAP ECC Financial Accounting (FI). This is provided that you have defined sales organizations, distribution channels and divisions in SAP CRM and the credit control areas in SAP ECC.

      Define credit groups

Note

In transaction FD32, you can change the credit management for customers, assign a risk category to the customer, and define the credit limit for the customer.

Setting Up Availability Check in SAP SCM Advanced Planning and Optimization (SAP APO)

Settings in SAP CRM

A further prerequisite for this business process is the availability check using SAP APO. You can use this to carry out an availability check for the items in a sales order. The availability check (ATP check) is used to check whether a product can be confirmed in a sales order, based on the fact that enough stock is available or can be produced or purchased on time. The product is reserved in the required quantity, and the ATP requirements are transferred to production or purchasing.

You make CRM-relevant settings for this function in Customizing for SAP CRM under Customer Relationship Management ® Basic Functions ® Availability Check ® Availability Check Using SAP APO. The following settings need to be made, among others:

      Define Middleware parameters: Availability check using SAP APO

      Define ATP profile

      Assign ATP profile to item category

Caution

The ATP profile in SAP CRM must correspond to the requirements profile in SAP APO.

Settings for SAP Global Trade Services (SAP GTS)

In this business process, you can carry out foreign trade checks using SAP GTS. The system transfers the sales order data to SAP GTS. It then checks the sales order for observance of the relevant export regulations (for example, sanctioned party lists, embargos, and the need for export licenses). If one of the foreign trade checks, known as Structure linkcompliance checks, returns a negative result, and, for example, violations of export regulations are determined, SAP GTS prevents the creation of a delivery or third-party purchase ordersapurl_link_0001_0007_0008 by setting a corresponding status in the sales order.
