Use

This function enables you to

·        Modify the E-mail template for the lead distribution process

·        Modify the PDF–based document template form for your business process. The PDF form is sent as an attachment with the e-mail.

·        Modify the business workflow for lead distribution via Interactive Form

Typically, users may modify the scenario for the following reasons:

¡        To modify the form layout, the arrangement and visibility of the fields, or the mail text. This falls within the scope of our topic.

¡        To add new fields or change the business function. In this case, a detailed understanding of CAF GP 2.0, the workflow and the implementation of the current scenario is required. The result of this is the availability of a completely new set of callable objects and services that replace the current implementation. This falls out of the scope of our topic.

Note

Any modification of the CAF GP 2.0 content requires a corresponding modification of the workflow.

Activities

Modifying the Form Template

·        Download the current form as a template by logging on to the portal as a GPADMIN user and performing the following steps:

¡        Select the project folder, for example CRM_EXT_LEAD_QUAL.

¡        Select the callable object and which represents the form, for example CRM_EXT_LEAD_QUAL_FORM.

¡        Choose Open  ® Details  ® Object Definition.

Note

Use the tab page in the Details screen and not the button Edit Object Definition on the left.

A screen is displayed with the link Template File.

¡        Right-click on the link and choose Save as… to download the template.

·        You can now edit the form template in the Form Designer.

You can:

¡        Change the layout and colors

¡        Add graphics

¡        Change texts and add texts

¡        Move and hide fields

You must not:

¡        Delete fields

¡        Add new fields, except static text fields

¡        Rename fields

·        Upload the new form into CAF GP 2.0 by logging on to the Portal as a GPADMIN user and carrying out the following steps:

¡        Select the project folder, for example CRM_EXT_LEAD_QUAL.

¡        Select the callable object and which represents the form, for example CRM_EXT_LEAD_QUAL_FORM.

¡        Choose Open  ®  Edit Object Definition  ® Change Template File.

¡        Upload your new template file and activate the callable object.

·        Adjust the workflow, by proceeding as described in the section Changing the workflow.

Changing the E-Mail Template

·        Change the existing email template by logging on to the Portal as a GPADMIN user and choosing Administration  ® Maintain Email Templates  ® CRM_LEAD_QUALIFICATION_MAIL (a template).  You can now edit and save the template.

Creating a New E-Mail Template and Modifying the Form Template

·        First, create a new e-mail template. Next, adjust the form template by logging on to the Portal as a GPADMIN user and performing the following steps:

¡        Select the project folder, for example, CRM_EXT_LEAD_QUAL

¡        Select the object to be called that represents the form, for example, CRM_EXT_LEAD_QUAL_FORM

¡        Choose Open  ®  Edit Configuration.

¡        Select Send to Processor via email and choose a new e-mail template

¡        Save and activate callable object.

·        Adjust the workflow by proceeding as described in the section Changing the workflow.

Changing the Workflow

·        Determine the Form ID by logging on to the Portal as a GPADMIN user and performing the following steps:

¡        Select the project folder, for example, CRM_EXT_LEAD_QUAL

¡        Select the callable object and which represents the form, for example, CRM_EXT_LEAD_QUAL_FORM

¡        Choose Open  ® Details and note the value behind the Callable Object ID.

·        Determine the form template version by logging on to the Portal as a GPADMIN user and performing the following steps:

¡        Select the project folder, for example, CRM_EXT_LEAD_QUAL

¡        Select the callable object, which represents the form for example, CRM_EXT_LEAD_QUAL_FORM

¡        Note the value in the Version column of the active version

§         Global version: Value before the decimal point. For example, the global version is 0 in the number 0.2.

§         Local version: Value after the decimal point. For example, the local version is 2 in the number 0.2.

·        Adjust the workflow in the following ways:

¡        Copy the original Business Workflow template of the CRM_LEAD_IF or Lead distribution via Interactive Form (WS15100054). For example, you can use the Object Navigator in the transaction SE80.

¡        Open the workflow template created in the previous step and change the initial values of the workflow container elements Template_ID, Global_Version and Local_Version using the values you determined in the previous two steps Determine Form ID and Determine Form Version .

¡        Deactivate the Start Event Linking for the workflow template CRM_LEAD_IF or Lead distribution via Interactive Form (WS15100054) and activate the Start Event Linking for the workflow template created in the previous step using the transaction Task Customizing (OOCU).
