Function documentation Entering Schedule Event Details Locate the document in its SAP Library structure

Use

You enter the details that define the schedule event, including:

·        The name of the schedule event.

·        The schedule week within which the schedule event is to occur (or begin for reoccurring schedule events).

·        The day (or days) on which it is to occur.

·        The number of times it is to occur (or reoccur)

·        The date upon which or the number of weeks after which a reoccurring schedule event is to end.

·        Its start and end times.

·        The employees that are to be scheduled to the schedule event.

       1.      The schedule event definition to identify the initial schedule event characteristics.

Event Name

Enter the name you want to assign to this schedule event. Once you have saved the schedule event, it appears in the Event List.

The schedule event name selected from the Event List.

Effective Start Week

Defaults to the selected Week of date.

The schedule week entered when initially creating the schedule event.

 

       2.      The dates as the schedule event can be scheduled to occur on specific day(s) of the week.

You must check at least one day.

 

       3.      The frequency as the schedule event can be scheduled one time or to repeat as needed.

Do not repeat

Click this when this schedule event is only to be scheduled one time. This is the default when adding a new schedule event. End Date parameters are greyed out for one-time schedule events.

Event occurs every week

Click this when entering a recurring schedule event. You must then enter End Date parameters.

 

       4.      The end date – you must specify how to treat the end date when defining a recurring schedule event.

Parameter

Description

Event ends after the week of < date>

Include for all schedule weeks (including this week) until reaching a specific schedule week. Either scroll to that week or select the week from the calendar pop-up.

Event ends after < blank> weeks

Include for all schedule weeks until reaching the specified number of weeks.

No end date

Include for all schedules, every week until stopped manually. This means you return to this page and edit the schedule event to add a specific end date.

 

       5.      The start/end time which specifies the time of day during which the event is to be scheduled. It is entered as a time range from the Start Time to the End Time. Entries must be entered in HH:MMA format and are rounded up to the nearest 15 minutes. The end time must be later than the start time by at least 15 minutes.

 

       6.      The employees eligible for the event. This section determines the group of employees that should be scheduled to this event.

Org Unit

Select an org unit from the Org Unit drop down list for the employee(s) you want to schedule for this schedule event.

Team

Click the check box next to the Team(s) to include the employees for that team. Click Check All to select all Teams. Click on either a check box with a check mark or the Uncheck All button to remove the check mark(s) from a check box.

Selection Method

This determines how you want to select employees from the org unit and team:

·        by Attributes

·        by Employees

IC WFM displays only those fields appropriate for the selection method.

Selection Method: by Attributes

This area displays only when choosing Selection Method by attributes. When you select employees for a schedule event by attributes, you automatically assign the event to all employees that meet the requirements defined by the:

·        Org/Team

·        Proficiency

·        Qualifications

You do not select individual employees when you select by attributes.

Description

Proficiency

Identifies how you want to select employees based on their proficiency:

Proficiency rating is < type> than or equal to < value>

where:

·        < type> is either Greater or Less

·        < value> is a number between 1 (lowest proficiency) and 20 (highest proficiency)

You can select Proficiency only when the Org Unit you select is a Work Area. Adding a Proficiency selection is optional.

Qualification

Click Qualification to activate the area and select one qualification from the drop down list. Adding a Qualification selection is optional.

Example

For example, if you have employees in Teams A and B within the selected Org Unit, you select all employees from Team A by clicking the check box next to Team A within the Employees Eligible for Event list. You can further limit which employees are scheduled for the event by entering either or both a Proficiency or Qualification selection.

Selection Method: by Employee

Displays only when choosing Selection method by employee. You select individual employees for the schedule event from the Employees list when you select by employee.

Sort

Select how you want to sort the employees in the employee list:

·        Last name: Ascending

·        Last name: Descending

·        Seniority: Most - Least

Show Employees

Click Show Employees to refresh the employee list.

Employee List

Contains the list of employees for the selected Org and Team. Changing the Org or Team selections might change the employees in the list. Click the check box next to the employee name to include the employee. Click Check All to select all employees. Click on either a check box with a check mark or the Uncheck All button to remove the check mark(s) from a check box.

 

       7.      Once you have made your changes to the schedule event, click:

Save

Validates your changes, adds the new schedule event to the Event List and returns you to Create New Event.

Validates your changes, saves the data and returns you to Create New Event.

Cancel

Ignores your entries, reloads a blank page and returns you to Create New Event.

Ignores your changes, reloads a blank page and returns you to Create New Event.
