Procedure documentation Define Absence Types Locate the document in its SAP Library structure

Use

Use this procedure to define the types of absences relevant to your organization. Employee absences must be classified in various categories in order to properly account for them. Example categories include vacation, sick days, jury duty, personal days, and time off requests.

Although the system treats each absence identically (that is, the employee is made unavailable), you should define these categories for reporting purposes.

Note

The absence types are not passed to any other system.

 

Procedure

       1.      You access the activity either through:

¡        The SAP IMG by choosing the path SAP IMG ® Customer Relationship Management ® Workforce Deployment ® Retail and Interaction Center Workforce Deployment ® Operational Settings ® Define Absence Types

¡        The SAP Easy Access Menu, by entering the transaction code CRM_WFM_SM.

You see the initial page for the site maintenance tool.

                                                  i.       At Profile Type, display the selections and choose Operational Settings / Parameters.

                                                ii.       At Sub-Type, display the selections and choose Absence Type.

                                               iii.       Choose Search.

                                               iv.       Click Absence Type, the topmost node of the tree, with the secondary mouse button and choose Create.

You see the Create New Parameter dialog box.

                                                 v.       Enter a Profile ID, which is the name of the absence type definition the system displays in the tree view.

                                               vi.       Enter a date defining the first day for which the absence type definition is valid.

                                              vii.       Choose Continue.

       2.      You see the Absence Types table where you complete your absence types definition by entering the following information:

Abs Code

The unique identifier for the absence types definition you entered at the Create New Parameter dialog box.

 

Start Date

Displays the Start Date you entered at the Create New Parameter dialog box.

 

End Date

An effective end date.

If no end date is planned for this absence type, enter 12/31/9999 to specify an open-ended validity range.

Short Description

A short description of the absence type definition.

The system uses this for any displays or drop down lists.

Active?

A check box indicating whether the absence type is enabled in the system.

Choose this field to enable the absence type. If you do not choose this field, the absence type is not available to the system

Default

A check box indicating whether the absence type is the default absence type.

You can define only one absence type as the default.

Display Limit Days

The number of days absences should remain visible on the time off requests page.

Managers see the time off requests page when running the system from the portal.

Long Description

An optional detailed description of the absence type.

 

       3.      Save your entries.

 

Result

You have defined absence types and can assign them to your location. For more information, see Assign Parameter Settings to Locations.
