Fund Status Management 
The status of a fund and the status of the funds plan to which the fund is assigned determine which business transactions are permitted on the fund. Statuses can be set by the system or by a user.
The figure below shows fund statuses and the possible transitions from one status to another.

Status Description |

New |
You create a fund and define all attributes, including the fund attributes. When you try to change the status of a fund from New to Preliminary, the system checks whether all fund attributes that are required for a specific fund type are defined. The system also checks whether the values that are selected for the fund attributes are valid. Budget posting business transactions are not yet permitted on the fund. The system does not send fund data to SAP NetWeaver Business Intelligence (SAP NetWeaver BI). |
Preliminary |
Once you set the status of a fund to Preliminary, you can start setting up budgets for the fund. While the fund has the status Preliminary, it is not consumable and active for accruals. You cannot change the fund attributes. If you have assigned a budget for a specific purpose, you cannot reassign it for a different purpose. You have to create a new fund instead with the required fund attributes and transfer the budget to it. The system sends fund data to SAP NetWeaver BI. |
Released |
Once you release a fund, you can plan, claim, prepay, accrue, and settle from the fund. If an accrual profile and expense type are assigned to the fund type of a fund, the system creates a fund usage for the fund. |
Locked |
You can lock a fund that has the status Released to prevent temporarily any budget postings and fund usages, including budget consumptions. Accrual processes may continue and fund usages for funds that have the status Locked can still be balanced. |
Canceled |
You can cancel a fund that has the status Preliminary and Released. You can set the status of the fund back to Preliminary. |
Closed |
You can close a fund at the end of its life cycle. |
Archived |
If you have canceled or closed a fund, the system archives it. For more information, see Archiving of Business Transactions. |
