You can define conditions for the schedule and start of actions according to your requirements.

Prerequisites

You have created action definitions in Customizing for Customer Relationship Management. You have two options when creating action definitions:

  • You use the wizard under   Basic Functions   Actions   Create Actions with Wizard

  • You use the basic transaction under   Basic Functions   Actions   Change Actions and Conditions   Define Action Profile and Actions.

Process

Calling up Condition Definitions
  1. Select   Basic Functions   Actions   Change Actions and Conditions   Define Conditions   in Customizing for Customer Relationship Management or   Basic Functions   Actions   Actions in Marketing Planner   Change Actions and Conditions   Define Conditions

  2. To select the action profile for which you would like to define conditions in the selection area, double-click it.

The actions appear with the conditions in the list assigned to the action profile.

The first time you call up the action profile you have to import the action definitions to the list via Create.

The following information is displayed in the list:

    • Test status indicator

Green means that the condition has been defined without errors. Red indicates mistakes.

    • Name of the Action Definition

    • Number

This tells you the sequence in which the actions will be executed

    • Processing type

This tells you which technique is used to process actions (for example, workflow or method call)

    • Name of processing (for example, send quotation, create telephone call or maintenance contract or collect purchasing data for campaign)

    • Name of schedule condition

    • Name of start condition

    • Stop indicator

The stop indicator ensures that the conditions of following actions are not evaluated if the condition is fulfilled.

You can execute the following functions in addition to the functions in the standard list:

    • Create an action template according to an action definition.

You can select the action definition from the symbol list box.

    • The following functions appear when you have selected an action template:

    • Change selected action template

    • Delete selected action template

    • Copy selected action template

    • Stop indicator to place or remove the condition for the selected action template

    • Call up error log for the selected action template

    • Refresh list

    • Transport action template

      Note Note

If you call up the delete and transport functions via the Action Profiles screen area, you obtain all action templates that are assigned to the selected action profile.

      End of the note.
Conditions for Defining Action Templates
  1. On the Schedule Condition tab page, enter a name for the schedule condition.

  2. Go to change mode.

  3. Enter the conditions.

For more information about this procedure, see condition editor. You can use the attributes of the object type and the date rules of the date profile and system fields defined in the action definition as expressions.

    Note Note

If you use system fields, note that the date and time fields in the system are of a different format to the dates in the date profile. For this reason, use the current date of the date profile as comparison date, instead of the system date.

    End of the note.
  4. On the Start Condition tab page, repeat steps 1 to 3 .

  5. Save your changes.

Changing Action Templates
  1. If you do not want to adopt the settings from the action definition for the action template, deselect the option Default Setting from Action Definition on the Overview tab page. Afterwards you can change settings.

  2. If actions are to be scheduled automatically when the schedule condition is fulfilled, select Schedule Automatically.

  3. Save your changes.

    Note Note

We recommend that you retain the Default Setting from Action Definition and that you make changes to the action definition as required.

    End of the note.
