Use

You can use the Survey Tool to make surveys accessible to known or unknown recipients, either as a URL link or an HTML file attached to a (personalized) e-mail, or you can insert surveys into any Web site. This enables you to use surveys in Intranet, Extranet and Internet scenarios. For example, you can distribute surveys to a number of recipients as part of a marketing campaign or a customer satisfaction survey. The data entered by the recipients is then submitted and can be evaluated at a later date.

 

Caution

However, it is currently only possible to user surveys in Intranet, Extranet and Internet scenarios as a project-based function. If you wish to implement this function, contact your SAP consultant for further information.

 

 

Features

To make surveys accessible via the Intranet, Extranet and Internet, you first need to define the Get and Send options. The Get option specifies how the survey is sent to the recipient, whereas the Send option specifies how the results are later sent back when the recipient submits the survey.

The following options are available for the Get option:

The following options are available for the Send option:

The options you choose depend mainly on the scenario. The following illustrates the possible scenarios and their corresponding options for making the survey accessible to users:

       1.      Intranet and Extranet Scenarios

To make your surveys accessible via the Intranet and Extranet, you can offer the URL to specified users directly, for example, in an e-mail. When the user selects the URL link, a logon page appears, in which he is required to enter his user name and password for the corresponding CRM system. This is necessary since a direct connection to the CRM system is established, and therefore only authorized and recognized users are allowed access to the CRM system.

       2.      Internet Scenarios

Since Internet users cannot be allowed access to the CRM system for security reasons, surveys have to be made accessible in a different way. You can do this by downloading the required HTML survey to your PC. From here, you have two options:

ˇ        Copy the HTML survey into any Web site

ˇ        Send HTML survey attached to an e-mail

 

The following illustrates the possible scenarios and their corresponding options for having the results sent back when the user submits the survey:

       1.      Intranet and Extranet Scenarios

The survey results are sent back to the CRM system via http or https. Seen from a technical point of view, the sender needs to confirm his identity by entering his logon data for the CRM system, but if the survey was accessed via the Intranet or Extranet (as explained above), the user will already have identified himself on accessing the survey.

       2.      Internet Scenarios

In Internet scenarios, you can have the results sent back as follows:

A.      Mailto

B.      http(s)

 

In case A,  a mail client, for example, Outlook, needs to be set up already on the client machine. In this case, the survey results would be sent to a CRM Server Mail User, that is, a “machine” user. From here, the results are routed to the CRM system for further processing.

Note

However, this method is not recommended, since you cannot assume the survey recipient has access to a mail client and even if he did, you cannot guarantee that the client browser works properly with the mail client installed. For example, the user may have accessed the Web site from an Internet café, and therefore the results cannot be sent back via a mail client.

For this reason, case B is recommended, as the user does not have to have his own e-mail account. Here, the survey results are first sent to a Survey Mailer. In this case, the Survey Mailer receives the http request and then mails the results to the CRM Server Mail User, where they can be processed. The Survey Mailer needs to be set up the administrator at the customer.
