Purpose

When a business partner is created and saved, the system checks whether this business partner or contact person already exists in the system.

The criteria based on which the check is performed can be customized following the procedure described below. Similarly, you have the option of customizing how the duplicate entries found should be displayed.

Process Flow

You specify how the search for duplicate entries should be performed and how the results are displayed:

1. Customizing the Duplicate Check Search

You can make the following settings:

·        Which tables are used for the duplicate entry check (for example, SMOKNA1, SMOADRC)

·        Which table fields are used for the duplicate entry check (for example, NAME1, STREET)

·        Which type of check (exact or match) should be performed

...

       1.      Choose Mobile System Maintenance ® Business Partner Settings ® Duplicate Check.

       2.      In the Search: Application and Object tile, select a choice field value (for example MSABP1, MSPBP1, MSABP2). These values are named as follows:

¡        The first three letters specify the application (MSA – Mobile Sales Application for High Tech, MSP – Mobile Sales Application for Pharmaceuticals).

NoteAs MSC (Mobile Sales Application for Consumer Goods Industry) uses the same Business Partners and Contact Persons component as MSA, the system looks for MSA as the first three letters, not MSC.

¡        The fourth and fifth letters specify the object (BP – business partner, CP – contact person) for which the check should be performed

¡        The last number is a continuing number

       3.      In the Search: Criteria tile, specify the criteria for the search in the description field of the choice field value (for example, K5-NAME1, A3-STREET, AE-CITY1):

¡        The first letter specifies the table (K – SMOKNA1, A – SMOADRC)

¡        The second letter specifies the type of search (E – exact, M – match, a number – match with substring (number), S – Soundex (enabled for a few attributes only))

¡        The third letter is a separator and always '-'

¡        The fourth letter onwards gives the business object attribute name

Where several criteria are customized, they are concatenated with 'AND'.

Example

The choice field MSABP1 has the description K5-NAME1. When a new business partner is created in the MSA application, the system searches through all SMOKNA1 records for a NAME1 with the same first five letters of the new business partner.

Note

The Soundex search allows you to search for entries that sound similar, thus enabling you to find entries containing similar text or spelling mistakes. You can enter the criteria as follows:

2. Customizing the Duplicate Check Results Display

You determine how identified duplicate entries are displayed by specifying which grid columns should be displayed in the mobile clients.

...

       1.      Choose Mobile System Maintenance ® Business Partner Settings ® Duplicate Check.

       2.      In the Display: Application and Object tile, select a choice field value (for example MSABP1, MSPBP1, MSABP2). These values are named as follows:

¡        The first three letters specify the application (MSA – Mobile Sales Application for High Tech, MSP – Mobile Sales Application for Pharmaceuticals).

¡        The fourth and fifth letters specify the object (BP – business partner, CP – contact person) for which the grid should be displayed

¡        The last number is a continuing number

       3.      In the Display: Hidden Columns tile, specify which columns should not be displayed in the grid. To do this, enter the technical name of the business object attribute in the description field of the choice field value. Those columns delivered in the standard version are as follows:

¡        NAME1

¡        NAME2

¡        PARTNER

¡        KUNNR

¡        KTOKD

¡        CITY1

¡        POSTALCODE

¡        PHONE

¡        STREET

¡        KVBRICK

¡        COUNTRY

ExampleThe choice field MSABP1 has the description KvCGroup. If one or more duplicate entries are found for the new business partner in the MSA application, the column KvCGroup is hidden in the grid displaying the duplicate entries.

Note the following points when working with these options:

·        The duplicate check is performed based on choice field entries made for language 'EN', even though you may be logged on in another language, such as 'DE'.

·        The query object BSCAPGEN is used for the business partner search, BSCONGENADRC for the contact person search. Only those parameters available in the query object concerned can be used as criteria in the duplicate check.

·        The duplicate check is not performed at all if no criteria are customized.

·        Only valid criteria are used for the duplicate check, incorrect entries are ignored.

·        You can also make these settings by choosing Mobile System Maintenance ® Cross-Component Settings ®Choice Fields and selecting the choice fields DOUBCRIT and DOUBCOLS.

Result

When a Mobile Sales user attempts to create a business partner that contains data similar to an existing business partner (as defined in the choice field criteria) the Duplicates window appears. The user should choose one of the following options:

·        Save New Record - creates the business partner record

·        Cancel - cancels the business partner record you have attempted to create

·        Go to Selected Record - opens the business partner record that contains similar criteria (as identified by the system administrator).
