Function documentation Synchronization  Locate the document in its SAP Library structure

Use

This function allows you to synchronize the mobile client calendar and either the Microsoft Outlook calendar or the Lotus Notes calendar so that an activity created in one calendar can be seen in the other. In addition, you can also synchronize a recurring activity created in any one of these calendars.

Note

If Microsoft Outlook is your mail client, synchronization occurs between the Mobile Sales application and Microsoft Outlook and not between the consolidated database and the Microsoft Exchange Server.

Features

     Automatic synchronization (Mobile Sales application)

Automatic synchronization is only possible for the Mobile Sales application, and not for Microsoft Outlook and Lotus Notes. You can set the synchronization process to occur when the mobile client starts up or shuts down.

     Manual synchronization

You can trigger manual synchronization from any of the following application’s toolbar:

¡        Microsoft Outlook ® Start Synchronization with SAP CRM

¡        Lotus Notes ® Start Synchronization with SAP CRM

¡        Mobile Sales or Mobile Service ® Synchronize with Mail Client

Note

You cannot revert to the previous data once the synchronization process is complete. You have to re-enter the previous data and trigger the synchronization process again.

If a conflict occurs and if you have set up manual conflict resolution, then the details of the conflict appear in the SAP CRM Calendar Conflict dialog box. This dialog box displays the activity date, subject, and possible actions you can take to resolve the conflict.

     Synchronization history

The synchronization history refers to the mapping of activities created during synchronization of the mobile client with either Microsoft Outlook or Lotus Notes. It is stored in a text file, which also contains the mobile user’s name and the profile name of Microsoft Outlook or Lotus Notes. 

Caution

The text file containing the synchronization history is located in the <User profile>\Application Data\MSA folder. Do not delete this text file.

If the synchronization history is deleted, all existing activities are considered as new activities.

Example

       1.      Mobile user A enters an activity in the Mobile Sales application and then synchronizes the activity with Microsoft Outlook.

       2.      Mobile user A then connects to CRM Enterprise at the office. The data is updated in CRM Enterprise and Microsoft Exchange Server simultaneously.

After the data exchange between the Mobile Sales application and CRM Enterprise, the mobile user C can see the activities of mobile user A in the Activities component of the Mobile Sales application.
