Data Exchange for Sales Contracts: R/3
– CRM Online
To enable the continued use of existing R/3 sales contracts in conjunction with CRM Sales, it is possible to replicate R/3 sales contracts to the CRM system. This enables you to integrate your contracts fully into your Customer Relationship Management processes and to benefit from features such as Opportunity Management, without having to re-create contracts in the CRM system.
Note that you
cannot download CRM contracts to the R/3 system.
CRM and R/3 sales
contracts can also be displayed in Mobile Sales. For more information, see
Data Exchange for
Sales Contracts: CRM Online – Mobile.
· The relevant IMG settings, such as contract types and item categories, must be identical in both systems. For more information, see the IMG for CRM under Transactions ® Settings for Contracts ® Settings for Contract Replication to the R/3 System.
· The same customer and product master data must exist in both systems.
· The same organizational data must exist in both systems.
· The CRM external number range should be the same as the R/3 internal number range.
· You must have downloaded master data.
You can run an initial download of R/3 sales contracts so that all existing contracts are transferred to the CRM system. Afterwards, the system runs delta downloads, in other words, it transfers any new or changed information in the sales contracts to the CRM system as soon as the changes take place.
When the system replicates the R/3 contract, it downloads the basic sales data as well as contract-specific data such as:
Once the sales contracts have been replicated, they can be displayed in the CRM system across all channels, such as Mobile Sales and Internet Sales.
You can continue to change the sales contract in the R/3 system.
Note that you cannot
change the R/3 sales contract in the CRM system.
You can release products against contracts in both the R/3 and CRM systems:
For more information, see
Data Exchange for
Sales Transactions: CRM Online – R/3.
The system updates the R/3 contract with release order details and cumulated quantities every time you release a product against the contract. You can see the updated contract in the CRM system.
1. Run an initial download for the R/3 sales contracts. Do not include expired, cancelled and completed contracts as you are unable to release products against them from either the R/3 or the CRM system.
To filter which contracts should be downloaded to the CRM system, go to the SAP Easy Access Menu and choose Architecture and Technology ® Middleware ® Data Exchange ® Object Management ® Business Objects. Select the SALESCONTRACT object and choose Filter Settings.
2. Run an initial download of price agreements. (If you use price agreements, you must download the contracts before you download the price agreements.)
Note
that if you change the price agreements in the R/3 contract after the
download, the changed price agreement is not transferred to
CRM.
3. If you have upgraded to a CRM 4.0 system, run the report Update of Doc Flow & Released Quantities/Values from R/3 Contracts (technical name: CRM_CONTRACT_UPDATE_FROM_R3) . This ensures that the downloaded contracts are aligned with previously downloaded R/3 release orders so that the contract contains the correct cumulated released quantities or values.
4. The system now runs delta downloads automatically.
If you do not want delta downloads of sales contracts to take place, follow the menu path in step 1) and indicate this in the filter settings for the SALESCONTRACT and SALESDOCUMENT objects.
5. You can display contracts and release orders as described in the Features section above.
