Process documentation Changing Business Transactions Transferred to SAP R/3 Locate the document in its SAP Library structure

Purpose

You can make changes to sales transactions and complaints that were created in SAP CRM in CRM Enterprise, even if transfer has already taken place to SAP R/3. There is further information under Data Exchange for Sales Transactions: CRM Enterprise – SAP R/3 .

Prerequisites

·        Document status in SAP R/3: Whether or not you can make changes depends on various statuses in the R/3 document, for example, whether the order has already been delivered, or whether follow-up documents exist, such as billing documents. You can display the status in the CRM business transaction.

·        System availability: If a change needs to be made to a transaction document, both the CRM System and the R/3 System must be available. Using this synchronization, inconsistencies are avoided in the systems.

       1.      If you wish to change a business transaction, the system first checks via the distribution status, whether transfer to SAP R/3 has already taken place. If the document has not yet been transferred, changes can be made in the transaction. If the transaction has already been transferred, the field selection is controlled by means of specific status. After transfer to SAP R/3, changes to the item category, for example, can no longer be made.

Note

You can change an item if it has been partially delivered. However, the following conditions apply:

§         You can only change items that are not relevant to the availability check.

§         You can only change the quantity. If you reduce the quantity so that it is lower than that already delivered, the system issues a warning message.

       2.      As soon as the status of the R/3 document is known, the system controls the field selection in the CRM transaction, and you can make the required changes.

       3.      As soon as you have saved the business transaction, and if it is without errors, changes are transferred to SAP R/3, and the R/3 document is updated.

       4.      SAP R/3 sends confirmation back to SAP CRM whether the transaction was changed there or not.

Deleting items in the business transaction

You can delete an item in a business transaction that has already been transferred to SAP R/3. There are two options for this:

·        The system automatically sets the reason for cancellation 00 for the item, for which in the standard system the To be deleted flag is active in Customizing.

·        You enter a reason for cancellation for the item for which you have activated the To be deleted flag in Customizing.

The item is only also deleted in SAP CRM when a response from R/3 has been received.
