Entering Items in a Sales Document

Use

You use this procedure to add specific items to a sales document.

Prerequisites

You have created a sales document and downloaded the required product data and item customizing data from CRM Online.

Procedure

  1. Select the sales document for which you want to enter items, using Sales Documents ® Search.
    1. On the Search tile, enter the search criteria, and choose Search.
    2. The sales document records appear on the List tile.

    3. On the List tile, select the required sales document record in the column at the far left.
  1. Access the Item Details tile by choosing:

Item No.

Unique number given to each item in a sales document

Req.

The system generates the value for this field.

 

Product

Product you want to include as an item

Req.

Enter the product number or choose the icon to the right of the field to search for the product in the Products Search dialog box.

If you enter a structured product then, while saving the sales document the system checks and adds all products that form a part of the structured product, to the list of items.

You may add "Bicycle" which is a structured product. Then while saving the sales document, the system will add "Seat", "Handle" and "Tyres" which are components of the product "Bicycle".

Item Category

An item category defines the attributes of an item, such as pricing, notes and so on.

Req.

When you choose a product, the system makes an entry in this field.

An item category helps you distinguish between the different types of sales document items.

Higher-Level Item

Item number of the item that is one level higher in the item hierarchy than the item you are entering

Opt.

Select an entry from the dropdown box.

The item you enter is called a Sub-Item to the Higher-Level Item.

Sales Quantity

Quantity ordered for a product, expressed in sales units

Req.

Enter a number for the sales quantity.

While saving the sales document, the Mobile Sales System checks the sales quantity and displays a warning if the sales quantity is below the defined minimum quantity.

Net Price

Price of a single item, regardless of the quantity entered

Opt.

The value for this field is calculated by the Internet Pricing and Configurator.

 

Net Value

Total value of all items in a sales document, after discounts and surcharges

Opt.

The value for this field is calculated by the Internet Pricing and Configurator.

The Mobile Sales System enters the main and secondary currencies specified in the sales document.

Delivery Date

Planned date on which the item is to be delivered

Opt.

The system automatically enters today's date. To change this, choose the calendar icon, and select a different date.

This date is used for availability checks of items.

It is also possible to have the same delivery date for all items in a sales document. To do this, select the Deliv. Date pushbutton on the Sales Document tile.

Configuration Attached

Indicates whether a configuration is attached to the item

Opt.

If there is a configuration attached, the checkbox is selected.

You may add "Desktop PC" as an item that has a configuration attached.

Here "Processor", "Monitor" and "Mouse" constitute some of the characteristics of the item. Now you can select "IBM" or "Pentium" as the processor, "Dell" or "Microsoft" as the monitor and so on.

Copy

Creates a copy of the selected item

Opt.

Choose the Copy pushbutton to copy an item and edit the required data.

 

Pricing

Calculates the pricing of an item using the Internet Pricing and Configurator

Opt.

Choose the Pricing pushbutton to display the pricing of an item.

Even if you do not choose the Pricing pushbutton, the system automatically calculates the pricing of an item while saving.

Free Goods

Determines the free goods attached to an item

Opt.

Choose the Free Goods pushbutton.

Free goods refer to:

  • Free products given on the sale of certain other products to a customer
  • A discount offered on an item

  1. If the item you are entering is a configurable product, choose the Config. pushbutton.
  2. The Sales Documents/Item Configuration tile set is displayed.

  3. On the Item Configuration tile, enter the relevant characteristics, and on the toolbar, choose This graphic is explained in the accompanying text to return to the Sales Documents/Item Details tile set.
  4. Save your entries.
  5. Repeat steps 3 to 6 for each item you want to enter.
