If you want to synchronize activities (business activities and tasks) in SAP CRM with sessions/appointments and tasks in Groupware, you need to map the activities in SAP CRM to appointments/sessions and tasks in Groupware.You can make the appropriate settings for this mapping in SAP CRM Customizing under Customer Relationship Management ® Transactions ®Settings for Activities ® Mapping of Activities to Groupware ® Map Activity Text Types and Business Partners to Groupware.

The following entries need to be made:

     Transaction type

The transaction type determines whether a business activity appointment/session or task is involved.

     Name

This field determines the name of the relevant transaction type.

     Text type

This field determines which text type, for example note or name, is transferred to the Groupware text edit block. If you choose note, the content of the note is automatically entered in the text edit block of the appointment, session or task in Groupware.As a rule, Groupware applications have only one area for the entry of longer texts.

     Function planner

In this field, you define which business partner should be displayed as the organizer in the Groupware calendar.

If, for example, the field Participant has the value 00000022 Owner and the participant in the session was created as a business partner with the partner function Owner, then the participant will be mapped to the partner function Owner in the SAP CRM business activity.

If, for example, the field Participant has the value 00000014 Employee Responsible and the participant in the session was created as a business partner with the partner function Employee Responsible, then the participant will be mapped to the partner function Employee Responsible in the SAP CRM transaction type Task.

     Participant

In this field, you can determine characteristics of session participants.  This field organizes the partner function of the CRM business activity for participants of a Groupware session when you have created a session in Groupware and it should be synchronized with SAP CRM. This setting is used when the participant was created as a business partner with the role Employee.

If the field Participant has the value 00000032 Participant and the participant in the session was created as a business partner with the partner function Employee, then the participant will be mapped to the partner function Participant in the SAP CRM business activity.

     Contact

In this field, you can determine characteristics of contact persons.  This field organizes the partner function of the CRM business activity for participants of a Groupware session when you have created a session in Groupware and it should be synchronized with SAP CRM.

This setting is used when the participant was created as a business partner with the roleContact Person.If the field Contact has the value 00000015 Contact Person and the participant in the session was created as a business partner with the partner function Contact Person, then the participants will be mapped to the partner function Contact Person in the SAP CRM business activity.

You need to determine appropriate partner functions for the transaction types Task and Business Activity in order to map partner functions to Groupware user functions. For the transaction type Business Activity for example, you can determine the fields Function Planner with the partner function 00000022 Owner, Participant with the partner function 00000032 Participant, and Contact with the partner function 00000015 Contact Person. Only then is the organizer mapped to the partner function Owner in the SAP CRM business activity when a session has been created in Groupware, provided that the Groupware user also has this partner function in SAP CRM.  The participants in this session are then mapped to the partner functions Participant and Contact Person in the SAP CRM business activity, provided that the participants in the session were created  as business partners with the role Employee or Contact Person in SAP CRM.
