Use

You can load your business partner data in the public contact directory, for example, in Microsoft Outlook’s global address list and/or in the Groupware personal contact directory.

The basic difference between the transfer of business partner data to the public contact directory and the transfer to the personal contact directory lies in the use of the various site types.

     If you want to exchange business partner data with the public contact directory, you use the Groupware Adapter 01 (mBDoc) site type.

     If you also want to exchange business partner data with the personal contact directory, you use the Groupware Adapter 02 (sBDoc) site type. For more information, see Create sites for Groupware adapter.

Prerequisites

All Groupware users who want to receive CRM business partner data in the public and/or personal contact directories must be CRM business partners themselves.

Features

Data Transfer to the Public Contact Directory

If you want to make the business partner data available in the Groupware public contact directory, you need to replicate the appropriate business partner data in the public contact directory. All Groupware users can then access the CRM contacts.

This integration is bidirectional, that is, the synchronization from the CRM server and Groupware server can take place in both directions. New contacts that you create in the Groupware public contact directory,or changes to existing contacts, for example, are replicated to the CRM server, and vice versa. However, in contrast to the data transfer to the Groupware user’s personal contact directory, only master data information is exchanged.Relationships that were created for a business partner cannot be exchanged.

You can influence the Groupware integration for business partners using filter criteria. You can also use them to prevent business partner data from being synchronized.You can define the filter conditions for business partners in SAP CRM Customizing under Customer Relationship Management ® CRM Middleware and Related Components ® Groupware Integration ® Application-Specific Activities ® Filter Condition for Business Partners Exchange with Groupware.

You must execute an initial load of business partner data for the data exchange of business partners.

Note

You can execute the initial load only under the prerequisite that the relevant Customizing objects were previously loaded.

The business partners are transferred to the Groupware user public contact directory even if there is no valid e-mail address in the business partner data.

Caution

You must, however, always transfer the business partner data and execute a download, even when you do not want to synchronize it with the public contact directory. This is due to the fact that the relationships of business partner ID and e-mail address saved in the MapBox repository are used for activity management.

Data Transfer to the Personal Contact Directory

If you want to make the business partner data in the personal contact directory available to Groupware users, you also need to replicate the appropriate business partner data in the personal contact directory. In addition, details on relationships that were created for the business partners, such as organization and communications fields, are transferred to the personal contact directory.

You can determine replication rules for the integration into the personal contact directory in the SAP CRM Administration Console (transaction SMOEAC), based on which the individual Groupware users should receive the relevant CRM business partners.In addition, you can define filter conditions in the replication object by using criteria fields.

This integration is unidirectional, that is, the synchronization only takes place from the CRM server to Groupware.Contacts that you newly create in the Groupware personal contact directory,or changes to existing contacts, are not replicated to the CRM server.

Note

You can use the synchronization with the public contact directory and the personal contact directory in parallel.

Caution

Attachments to business partner data are not replicated to Groupware and vice versa.
