Use

In SAP BW, you create workbooks and queries as well as user IDs that allow mobile client users to access the data in SAP BW. You combine workbooks and the relevant users in a role, thereby allowing those users to call up the workbooks assigned to that role. Depending on how you define the query for the workbook, you can also add more restrictions on the authorizations for reading the data:

·         If the query does not contain any variables that are ready for input, then all users of that role see the same data.

·         If the query does contain variables that are ready for input, you can use variants to specify which user is authorized to see which data. The names given to the variants are significant in the following ways:

¡        If you give a variant exactly the same name as the role, the system automatically ensures that all users assigned to that role are authorized to see the data.

¡        If you give a variant exactly the same name as a user ID, the system automatically ensures that only that user sees the data.

¡        If you give a variant an original name, then you can specify for a BW request in SAP CRM which user is authorized to see which variant (for more information, see Lookup for BW Variant Names).

In SAP CRM, you can also create variant definitions for the automatic generation of variants. Existing client subscriptions can be taken as the basis for the generation. For more information, see Generic Variant Definition.

Prerequisites

If you use queries from the delivered SAP BW Business Content, the same queries need to exist in the active version.

Procedure

1.       Create a user ID in SAP BW for each mobile client user. You execute this by choosing Tools ® Administration ® User Maintenance ® User or User Mass Maintenance in the SAP menu.

The user IDs in SAP BW and on the mobile client should concur as closely as possible. The mobile user MILLER should therefore also have MILLER as his/her user ID in SAP BW. If this is not possible, you can assign users in SAP CRM (see the section User Links in Managing and Monitoring BW Requests for Mobile Clients).

2.       Also create a user ID for the RFC connection to SAP CRM, such as BWCRMREMOTE.  This user should be of the user type Dialog (setting made in the Logon Data tab page) so that you can subsequently run checks directly in SAP BW from within CRM.

3.       Set up an RFC destination for SAP CRM. You execute this by choosing Tools ® Administration ® Administration ® Network ® RFC Destinations in the SAP menu.

As the name for the RFC destination, choose the ID that is shown in SAP CRM in the Manage and Monitor BW Requests for Mobile Clients screen under Environment ® Own System ID. In the Logon/Security tab page, enter the user ID that is created in CRM for the RFC connection between CRM and BW (see Making Settings on the SAP CRM Server).

4.       Under Tools ® Administration ® User Maintenance ® Role Administration, create a role and then use the Users tab page to assign the users created in the first two steps to this role.

5.       In the Menu tab page, assign transaction RRMX or any existing workbook to the role. This is required for technical reasons so that you can later save a workbook directly in the role.

6.       If necessary, create a query that can be used to read the data from SAP BW. Alternatively, you can use one of the predefined queries delivered by SAP in the Business Content.

7.       If the query you are using contains variables, you can create variants. This makes sense if you would like the same query to be used by different users but in each case with different selections. When naming the variants, observe the rules described above under Use.

8.       In the Business Explorer Analyzer (BEx Analyzer), use the Microsoft Excel menu bar to create a workbook.

9.       In the BEx Analyzer toolbar, choose Open and add to the workbook either the query created in step 6 or a query from SAP BW Business Content.

10.   Choose Save in the BEx Analyzer toolbar and add the new workbook to the role you created.

11.   Delete the results of the query from the workbook so that the individual mobile clients do not receive any old data or any data that they are not authorized to receive. To delete the results, choose Tools ® All queries in the workbook ® Delete Results in the BEx Analyzer toolbar.

Result

You have now combined the workbooks and user IDs in a role. You can now request this data from within SAP CRM (see Making Settings on the SAP CRM Server).
