Purpose

This process gives you an overview of how to create a business activity or a task and assign it to an employee. You can assign more than one employee to an activity. For example, a group meeting can be assigned to a number of employees. You can also use this process to relate a contact person to an activity.

Process Flow

       1.      Create an activity

You can create a business activity or task with a business partner. You can also specify the activity as a private activity and define an objective. Additionally, you can specify a priority and a status for the activity, and assign it to an opportunity or a campaign.

       2.      Assign an employee as the person responsible for an activity

There can be more than one employee, with the same function, assigned to an activity. In such a case, you have to select one employee as the main person responsible. However, if more than one employee each with a different function is assigned to the same activity, then the system automatically defines each employee as the main person responsible.

Bob and Paula are assigned to the same activity. Bob has the function of a brand manager and Paula has the function of a stockist. In this case, both Bob and Paula will be assigned as the main persons responsible for the activity. However, if they had the same function, then you would need to indicate one of them as the main person responsible.

By default, when you create an activity, you are assigned as the Main Person Responsible.

       3.      Relate one or more contact persons to an activity

There can be more than one contact person with the same function related to an activity. In such a case, you have to select one contact person as the main contact. However, if more than one contact person each with a different function is related to the same activity, then the system automatically defines each contact person as the main contact.

Bob and Paula are assigned to the same activity. Bob has the function of a manager and Paula has the function of an executive. In this case, both Bob and Paula will be assigned as the main contacts. However, if they had the same function, then you would need to indicate one of them as the main contact.

Result

You have created an activity. You can now perform any of the following functions:

·        Convert a task to a business activity

·        Copy an activity

You can create a copy of the current activity. This helps you save time when you are creating multiple activities with the same business partner.

·        Create a recurring activity

·        Generate a sales document related to an activity
