You define security for custom menus created in Interface for Excel and add them to the custom menu list in the Interface for Excel action pane. Once they are added to the list, appropriate users can select them in the action pane upon opening Interface for Excel.

Features

There are two types of custom menus: a default custom menu and a team custom menu. Users see one type or the other, depending on their team affiliation and the custom menu setup. The default custom menu is defined on the EV_DEFAULT tab on the custom menu workbook. If users are not part of a team, they can only access the default custom menu.

You can define one or more team custom menus that are appropriate to specific Planning and Consolidation teams. Users assigned to a team see those custom menus, not the default custom menu.

The following rules apply when the system determines the custom menus to display in the action pane:

  • If a user is not assigned to a specific team, they see the default custom menu.

  • If a user is assigned to a team custom menu, they see only the custom menu of the team. They do not see the default menu.

  • If a user is assigned to multiple teams, the user has the option of selecting any one of the available team custom menus.

You enter the following information in the process.xls workbook, entering one row of information for each custom menu that you want to create for business users:

  • Team

    One or more team names that have access to the custom menu specified in the Name field. For example, Admin, UserTeam, or CORPUSERS.

  • Process Name

    A name used to identify the name of the process. For example, Budget, Actual, or Administrative.

  • Default Process

    Users may have rights to see multiple custom menus. Select the checkbox to specify that the custom menu is selected by default in the action pane. Do this for only one row per process.xls workbook.

  • Process Description

    A description for the custom menu that displays when the custom menu is selected in the action pane and at the top of the custom menu. For example, Current Month Results or Administrative tasks.

  • CV

    The default current view for the custom menu. The format is: <dimension>=<member>, <dimension>=<member>. For example, Category=Actual,Time= 2005.Apr or Category=Budget,Time= 2006.Jan.

  • Application

    The application in which the custom menu resides. For example, Finance or HR. If you want users to access more than one application using the same template, you can enter multiple applications separated by commas. If you want a single template to use applications Finance and Finance2, for instance, enter Finance,Finance2. This allows you to define separate current views for each application. You use the CVOverride field in the custom menu to define the different current views. If using more than one application in a custom menu template, you must also set up the file structure under each application folder to be identical on the server.

  • MenuFile

    The location of the custom menu. The root folder for custom menus is the custom menu folder in the Wizard directory in the application's WebExcel folder. On a client machine, the directory is located in the user's My Documents\BPC\AppInfo\<AppSet>\<application>\eExcel\Reports\Wizard\custom menu Reports folder. For example, ProcessMenu\ProcessFunctions.xlt or ProcessMenu\AdministratorTasks.xlt.

  • Message

    A short message to users about the custom menu. The message is displayed in the action pane. This message can be changed as needed. For example, Due the 3rd business day of each month or Comments are due in one week.

Activities

Create a custom menu by choosing Custom Menus within the Admin console. Enter a row for each custom menu in the process.xls workbook. You can test the information you entered by choosing Validate Custom Menu, fixing any errors that appear.

To assign a custom menu to a team of users, name the worksheet when creating the custom menu using the same team ID as the team ID used in users.xls. For example, if the team ID is CORPUSERS, name the custom menu worksheet CORPUSERS as well. The worksheet name is case-sensitve, and must be identical to what was defined in users.xls.
