Applies to: SAP BW (INA Provider) connections.

There are two ways of entering data:
You can save the data you enter in an input form only if you meet the following criteria:
  • You can enter data on a query that has been defined as an input-ready query in BEx Query Designer, provided that the query is in change mode (see below to learn more about the change mode).
    Restriction However, if the "Access Type for Result Values" have not been set to "Master Data" in BEx Query Designer, you cannot save the data entered on empty cells.
  • Provided that the disaggregation settings have been defined for the input-ready query you are using, you can enter data on parent members. When you perform a transfer or a save, the parent data is distributed to the child members according to disaggregation method defined in the query.
    • You can specify that specific data are not impacted by the disaggregation. To do so, you lock cells: the data in the locked cells will not be taken into account in the disaggregation calculation. Only input-enabled cells can be locked. The cells are locked for the current session only, meaning as long as you are connected to the query. You can also unlock the cells during the session.

      To lock cells, select the input-enabled cells you want to lock and do one of the following: click Lock Cells in the EPM tab of the Ribbon, or right-click and select Lock Cells from the EPM contextual menu. If you select a mix of cells that are not locked and cells that are already locked, all selected cells are locked when you click Lock Cells.

      As Microsoft Excel cells are always input enabled, you can enter values in the locked cells but the values will not affect the disaggregation calculation. In such cases, when you perform a transfer, a message indicates that there is no data to transfer.

      To unlock cells, select the cells you want to unlock and do one of the following: click Unlock Cells in the EPM tab of the Ribbon, or right-click and select Unlock Cells from the EPM contextual menu.

      Note you cannot lock or unlock more than 100 cells at the same time.

      If you execute a data process and refresh the cells, the locked cells are unlocked automatically.

      You can define a specific formatting for the locked cells. In the Dimension Member/Property Formatting section of the dynamic formatting sheet, click Add Member/Property. The Select Member/Property dialog box opens. Click the Specific Selection tab and select Locked Cells. Note that the formatting only applies to the cells that have been locked using the EPM plug-in feature and it does not apply to the cells that have been locked using the Microsoft Excel standard cell lock feature.

  • If no disaggregation settings have been defined in the query, you cannot enter any data on parent members.
  • You can enter data if you have been granted the appropriate profiles on the administration side.
    Tip To quickly and easily view for which members you can enter data, use the dynamic formatting sheet, select the Dimension Member/Property Formatting section, define a specific format in the Inputable Member Default Format row and perform a refresh on your input form worksheet. For more information, see Dynamic Formatting Template Definition.
Multi-User Data Input - Edit and Read Modes

If no specific lock has been defined on the backend side, then, in the EPM plug-in, several users can enter and save data on a query at the same time and the last save is taken into account in case of conflicts. However, if locks have been defined, several users can view a query at the same time but only one user can enter and save data on it, using the edit mode. The other users are warned that they can only access the query in read mode.

When you open reports from an input-ready queries, in the Data Input group of the EPM tab of the Ribbon, you have either of the following cases:
  • The Edit Mode button is activated: you are in change mode, meaning that you can enter data on at least one of the queries opened in your session, and save the data.

  • The Edit Mode button is deactivated: you are in read mode, meaning that you cannot enter data on any of the queries opened in your session, since another user uses one of the queries in edit mode.

Note

You can see all the queries of your session in the Active Connection dropdown list of the EPM pane.

  • To view all the queries that are defined as input-ready in BEx query Designer, click the Editable Queries dropdown list: the queries on which you can currently enter data are preceeded with a tick sign, meaning these queries are in edit mode. The queries that do not have the tick sign are in read mode for you.
  • If you are in edit mode and if you want to have all the input-ready queries in change mode, click the Editable Queries dropdown list and select Switch all queries to Edit Mode.
  • If you are in edit mode and if you want to view the query in read mode and give the possibility to other users to enter and save data on the query, you can click the Edit Mode button which becomes deactivated, or you can click the ticked queries in the Switch all queries to Edit Mode dropdown list and switch them to read mode.
