Using this function is the first step in the auditing and reporting phase of a retention warehouse scenario. The function enables you to select the archived data that you want to later upload into BI infoproviders for auditing or reporting purposes. The function exports a file containing the URIs of the data you selected, into an exchange directory, which is then used by the retention warehouse to build a work package. The work package is the intermediary step that narrows down the data selection and prepares the data to be copied from the archive and uploaded into infoproviders. Process

Choosing Collections and/or Resources for Inclusion in Work Package

You choose the data that you want to use for your audit or reporting purposes directly in the archive hierarchy.

  • Export Selection: Select the collections or resources you want to include in the export and use the secondary mouse button. Choose Select or Deselect for Export from the menu. If you have selected a collection for export, that collection and all sub collections and resources are selected for export.

    The export is only possible if the selected collections contain resources.

    If you selected a resource, then that resource is selected for export.

    You can undo the selection by simply repeating the steps again.

Exporting the URIs of the Selected Data

After you have selected the data you want to use for your audit or reporting purposes, you must make it available to the retention warehouse. This is technically realized in the “export” step, during which a file (XML format), which contains the URIs identifying the selected resources (ADK files), is exported into an exchange directory and made available to the work package.

Configuration Before the Export

Before you begin your export, you must ensure that you have set up an appropriate exchange directory. For more information see Retention Warehouse. Then you must make the exchange directory known to the ILM Store Browser:

  • Choose the export icon in the top right corner of the Archive Hierarchy View and choose Configuration from the menu:

    • Configure Export...: Choose Configure Export... from the sub menu. The ILM Store Browser Configuration dialog screen appears. Check if an exchange directory has already been entered and if so, if it is correct. Choose the Switch between display and edit mode icon to change the directory or enter a new one. Choose Save and Close to activate your entries, or Restore and Close to revert back to the previous entry.

Export for Work Package

  • Choose the export icon in the top right corner of the Archive Hierarchy View and choose Export for Work Package from the menu:

    • Start Export...: Choose Start Export from the sub menu to begin the export of the URIs of the selected resources.

      Note Note

      If you have selected a large number of resource URIs to be exported, the operation may take some time. If you want to continue with the export anyway, confirm the warning with Ok.

      The Export List Creation dialog screen appears. Enter a name for the export list. Activate Show Preview if you want to see a preview of the list of URIs that are to be exported, before the actual export takes place. Choose Create. A list of URIs to be exported appears if you chose to see a preview. Check the list and choose Start Export. The export is automatically started.

    • Show Export...: Choose Show Export from the sub menu to see a list of all exports that have taken place. Find your export in the list to ensure that the URIs were exported successfully. Select your export to see a list of all URIs included. If necessary, choose Restart Export to run the same export again. Delete removes your export from the export list.

    • Reset Export Selection: Choose Reset Export Selection from the sub menu to undo the selection of the collections and resources.

Result

You have now exported the URIs of the resources that you want to include in the work package to be used for reporting or audits in the retention warehouse.
