Common Folders 
So that portal users can use the Entry Points iView to navigate directly to common folders of their respective groups, you have to create links to the folders of these groups in a central folder.
The folders that groups of users (for example, departments or other organizational units) access regularly can be located deep in the folder hierarchies of various repositories. You use the Entry Points iView to allow your users direct access to the common folders of their respective groups in a central place. Each user sees only the folders for which he or she has permissions in the Entry Points iView.
Proceed as follows to allow users access to common folders:

1. Create a folder
This should normally be /documents/commonfolders.However, your system administrator can define another folder in the configuration.

The folder commonfolders (or another folder, defined by the administrator), can only contain links. It may not contain subfolders or documents.
2. Create links to the work folders of the various groups in this folder.
The target folders can be located in any repository.
3. Define the permissions for the links in the Details dialog boxes of the links.
Give the relevant groups read permission for the links.

The list of common folders for a user remains constant within a session. You can only see common folders in the Entry Points iView, the Copy and Move dialog boxes, and the GoTo menu after having logged on to the portal again.
Organization of Common Folders

You create the following links in the folder commonfolders:
· Link A points to the work folders of group A. You give group A read permission for the link.
· Link B points to the work folders of group B. You give group B read permission for the link.
A user who is only a member of group A sees only the link to folder A in the Entry Points iView under Common Folders.
A user who is a member of group B sees only the link to folder B.
A user who is a member of both groups sees both links.
