Defining a Residence Time for Archiving
Object Data 
In the archiving object-specific IMG activity Define Residence Time for [Name of Archiving Object] in your application, you define the length of time for which the data records of the respective archiving object can remain in the operational dataset before being archived by the system and then deleted from the operational database. This period of time is called the residence time.
You have the option of making the residence time of your archiving object dependent on particular archiving object-specific criteria, such as the assignment of a particular organizational unit or product category on which the data is based.
During the analysis process, the system then determines the residence time for the archiving object data from the entry in this IMG activity.
If it cannot find an entry for the IMG activity, the system uses as a basis the residence time entered in the cross-archiving object settings in the implementation guide for your application in IMG activity Maintain Global Control of Archiving.
If there are several entries for residence times in the IMG activity that depend on different criteria, the system includes the entries in a predefined sequence, starting with the most specific and ending with the generic criteria.
The system can only archive and delete the data records of an archiving object if they meet the following prerequisites:
· The data records to be archived must reach the residence time defined here (minimum retention period for the data in the operational database).
· The data to be archived meets all the business-related prerequisites specified by the application. These may include having a particular status, for example.
Enter the archiving object-specific criterion or criteria on which you want the residence time of the data records to be archived to depend.

Ensure that you create at least one generic criterion for the system to use as a basis if it cannot find any qualified entries.
Define the residence time by specifying the number and type of units (days, weeks, months, years).

To display archived data records for your archiving object, choose the relevant transaction Display Archived X from the SAP Easy Access screen.
