Structuring the Worklist by
Responsibilities
In
planning applications that are loosely integrated with SAP CRM, you work with
special
planning folders
that use worklists structured according to the responsibilities of the
individual planners. In this way, a planner performs planning for specific
areas that are displayed using characteristic values (such as value 0001 for
characteristic Sales Office).

· The planning area is set.
· In the planning level, you have set the Selection in Package indicator for the characteristics that are to appear in the worklist. When this indicator is set, the system uses the ad hoc package to create a connection between the settings for the planning services and the planning environment settings.
Previously, you had to create this connection using automatically generated exit variables. This option is still available. The variables are generated by the system for each characteristic in the planning area when you call up a planning area for the first time by choosing Business Planning and Simulation ® CRM Analytics ® Planning Services ® Customizing. In the planning level, you assign the variables to the corresponding characteristics.
· You have defined planning folders and planning layouts.
· You have specified the responsibilities of the individual planners using one of the following options:

The general functions that are available with the variables are described under Variables for the Definition of Worklists. For use in the planning services, you have to set both of the following indicators: Input Allowed by User and Restriction of Values Required by User. The worklist described in the following procedure is not the same as the one described in the documentation referred to above. Both worklists use the same variables technology.
¡ Business Add-In Origin of Responsibilities (UPX_RESP_SOURCE).
You have specified this Origin of Responsibilities in the Settings for Planning Services.
If a planner calls up planning, the system performs the following steps to determine the personal worklist:
1. The system checks which planning area is set and which planning folders and layouts it contains.
2. In each planning level of the planning folder, the system checks which characteristics should be contained in the worklist. These are the characteristics used to set up the connection between planning services and planning environment (see the first point under “Prerequisites” above). The characteristic only needs to be contained in one of the planning levels; it does not have to be contained in all of the planning levels.
3. The system attempts to determine for these characteristics the values falling within the responsibilities of the user currently logged on. In this process, the system first checks the entries under Origin of Responsibilities and then accesses the settings for the corresponding variables or accesses the Business Add-In.
The system also takes hierarchies into account. Hence, if a planner is responsible for an area, then that planner is also responsible for everything that appears in the hierarchy beneath that area.

For example, if a planner is responsible for country Germany, then he or she is also responsible for state Bavaria.
4. The system creates the worklist.
