Definition

This infotype specifies control options for documents output in request-based correspondence.

Use

Notification groups combine activities that are handled in the same way in request-based correspondence. Rules specify exactlyhow the activities in a notification group are handled.  The rules specify:

·         To whom a document is sent – for example, learner

·         What document is sent – for example, confirmation of participation

·         How it is sent – for example, e-mail

·         When the document is sent – for example, automatic output

The rules depend upon the business process underlying request-based correspondence. In other words, one rule is valid for business processes related to a course, a course type, or a delivery method.

The administrator appends the Correspondence Control Options infotype (5048) to courses (specific) or course types (general) or configures the relevant settings in Customizing to control all correspondence output. You can use the infotype to define course- or course type-specific rules. You can define rules specific to one course, to one course type, or to all courses of a course type.

Rule hierarchy:

·         Course type-specific rules override delivery method-specific rules completely.

·         Course-specific rules override course type-specific rules and delivery method-specific rules completely.

Delivery method-, course type-, and course-specific rules form the basic framework of the correspondence control options. If you want to send out correspondence for a notification group and recipient role, you must specify this in the IMG activity Specify Correspondence Control Options per Delivery Method or in the Correspondence Control Options infotype (5048).

Structure

You use the infotype to specify the following output options:

·        Recipient role

You specify the recipient role for document output. The standard SAP system contains the following recipient roles:

¡        Learner

¡        Manager

¡        Instructor

¡        Training administrator

·        Notification group

Notification groups combine activities that are handled in the same way in correspondence.

·        Correspondence type

Correspondence types enable you to control correspondence of the same type. For example:

§         For learners – booking confirmation

§         For learners – participation confirmation

§         For instructors – course information

·        Medium

You specify the output medium, such as:

§         Printer

§         Fax

§         Internet mail

§         SAP mail

§         SMS

·        Automatic processing

You specify whether the correspondence request should be output immediately after it has been created. The SAP system reads the indicator in both the automatic and manual correspondence processes. The effect is as follows:

¡        If this indicator is not selected, you can change the request in the correspondence worklist.  For example, you can make the following changes to a request:

§         You can make mass changes to multiple requests, for example, you can change the output language.

§         You can change the output medium for a request.

¡        If this indicator is selected, you cannot change the request in the correspondence worklist.  The correspondence request is automatically converted to an output request.

The indicator is specified for manual and automatic correspondence according to the rules specified in the correspondence control options. You define these rules in Customizing or in the Correspondence Control Options infotype (5048). Choose Training ManagementDay-to-Day ActivitiesCorrespondenceRequest-Based Correspondence.
