Determination of Budget Billing Amount
The amount and any open items for the budget billing plans that are manually created in the move-in or during invoicing, are always determined on the basis of the billing document or a document from extrapolation. This billing document is entered in the header data of the budget billing plan for information purposes.
During migration the new budget billing plan is structured using the data from the transfer program. A document from extrapolation is not created.
You use event Determine Extrapolation Period (R984) to determine the extrapolation periods depending on the calling process. The following processes are available:
· M – manual creation EA61
· E – Move-in
· P – Portion change
· A – Manual adjustment E61M
· T – Rate maintenance
When creating a budget billing plan during invoicing, this event is not executed because the billing document already contains the extrapolation lines that are relevant for determining the budget billing amount.

The following graphic shows the quantity-based extrapolation with determination of extrapolation periods:

· A net amount is determined from the billing document, based on the subtransaction, VAT determination code and the contract. You can change the determined net amount using the general budget billing amount adjustment factor (table TE757).

Adjustment factor: 1.05
Net amount: 1000 x 1.05 = 1050
· A gross amount is calculated from the net amount, on the basis of the VAT determination code and the VAT code.

1000,- + 16% =1160,-
· The determined gross amount is calculated differently for the individual items, according to the cycle settings in the portion.

The following graphic shows a calculation for the cycle portions 1/11 and 2/5. Note that for special cycles such as this, an item that is valid for the billing month must also be included. In the example, only nine items result from the move-in on March 10th 2002.

· You can overwrite the determined amount with the standing amount, or in the move-in with the transferred amount.
· Change Budget Billing Amount (R995) to change the budget billing amount.
· If a move-in was reported late, or an invoicing run was started late, you may no longer request any individual items. To be able to process these items, the value in field Remaining Amnt from the table is evaluated for the remaining amount.

The following graphic shows an example for a temporary budget billing plan for which move-in took place on March 10th 2001 but was only registered on May 20th 2001.
Items from before May 20th 2001 can no longer be requested. These are marked with an X in the graphic. To be able to process these items, the value in field Remaining Amnt from the table TE633 is evaluated for the remaining amount.
Remaining amount = Total of X items
In the example: 3 x 116,- = 348,-

· You can choose from the following values in the Remaining Amnt field:
¡ 1: Collect remaining amount using one separate single claim
¡ 2: Distribute remaining amount evenly over modifiable due dates
¡ 3: Do not take account of remaining amount in BB plan
¡ 4: Add remaining amount to first modifiable due date

Value 2 Distribute remaining amount evenly over modifiable due dates is selected in the example.
348,- / 6 = 58,-
This results in a total amount for each item:
116,- + 58,- = 174,-
The following graphic shows the temporary budget billing plan taking the remaining amount into account:

· If all temporary amount determinations have been executed, the amount is rounded and the tax calculated for each item.

The following example shows the example budget billing plan proposed by the system with the total amount of €174 for each item and a tax amount of €24:

· After the budget billing plan has been structured by the system, you can change this budget billing plan in event Change Budget Billing Amount (R994). Note that any changes you make must not affect the consistency of the budget billing plan. The most important change option is the adjustment of the amount.
