Creating Users and Connecting Users to Persons 

Purpose

If new persons are created during the assignment of roles to persons, the new persons must have a user in the system and that user must be connected to the person created. Otherwise, the tasks belonging the role assigned to the user cannot appear in the person's task list.

Persons and users are connected for each organizational unit, and this is performed by the user in the respective organizational unit who is assigned to the role with the task Create User.

This step is not automated because how users for a system are issued differs from one company to the next.

Prerequisites

The user that has been assigned the role with the task Create User needs to have special authorization, which you can issue as follows:

·        You assign the general SAP role Management of Internal Controls – All Authorizations (SAP_CGV_MIC_ALL) to the user. Note, however, that this gives the user all authorizations for MIC (see Roles and Authorizations Concept).

·        You create a new general SAP role or adapt an existing role, and issue the authorization for the authorization object Transaction Code Check at Transaction Start (S_TCODE). As the transaction code, enter the value FOPCBU.

Process Flow

...

       1.      When a person is created in the organizational unit for which you have authorization to perform the task Create User, you receive this task in the inbox of the SAP Business Workplace in the SAP GUI.

       2.      When the task has appeared in the task list, call up Customizing for MIC and choose Connect Person and User. A list appears containing all persons that have not yet been assigned users.

       3.      Inform your system administrator in the usual way that you need users in the system for the persons listed.

       4.      Once the system administrator has created the users, you have the following options for creating the connections to persons:

¡        By choosing  with quick info Connect User and Person in the IMG activity Connect Person and User.

¡        By performing the corresponding task in the SAP Business Workflow

¡        By assigning the user to the person in the expert mode for structure setup
