Use

Employees can use this Web application to correct, in a weekly overview graphic, errors that originated due to incorrect entries at the time recording terminal. For example, they can correct duplicate clock-ins or enter missing entries and account assignment data. An optional monitoring function and approval procedure enable the entries changed, deleted, and created manually to be checked and approved.

Note

This Web application is not designed as an alternative to recording working times at the time recording terminal.

Features

·        When employees post time events, such as clock-ins and clock-outs, at external time recording terminals, errors may occur. For example, employees may clock in twice instead of clocking in once and clocking out once or they may forget to clock in or out. These kinds of errors are detected in the subsequent time evaluation run.

Employees can use this Web application to correct these kinds of errors, which means that time administrators only have to correct errors that cannot be corrected by employees themselves.

·        The trigger to process an entry with errors may be a time evaluation message. You can customize the messages that are relevant for employees to be indicated as such. If messages of this type are issued, employees are notified by e-mail.

If necessary, you can connect time evaluation to the Web application so that employees can check immediately whether or not their corrections were successful.

·        Employees may notice when they are still at the time recording terminal that they have made a mistake. You can make customizing settings to enable employees to use the Web application to correct the error before time evaluation has run.

·        Employees can also use this Web application to correct errors that time evaluation cannot detect. This may include incorrect account assignment information or missing entries on a day on which the employee was not scheduled to work and worked overtime.

In Customizing, you can define which corrections an employee is allowed to make. Generally, the following is valid:

¡        When correcting time events, employees are permitted to edit only the time event types which they are permitted to use at the time recording terminal.

¡        Employees should not be permitted to overwrite corrections that a time administrator has entered in the Time Events infotype (2011). These entries are therefore locked for processing with the Web application.

·        The Web application has automatic control of the processing process:

¡        You can specify in Customizing which groups of employees are permitted to carry out which actions. For example, you can specify that employees are permitted to make corrections only if time evaluation has issued a message or that they are not permitted to create any new clock-in/out entries.

¡        The clock-in/out corrections are not saved directly in the TEVEN table, they are buffered in other tables. This means that you can integrate checking and/or approval processes to avoid incorrect entries and to check employees' entries.

¡        Several reports are available to control the processing. They are used to notify persons involved in the process, such as employees, managers, and HR administrators, that they have clock-in/out corrections that they have to edit, check, or approve.

¡        You can integrate an approval procedure with the Web application. You can incorporate the field for selecting an approver in your field selection for the Web application.

You can schedule the reports as a periodic background process. If you want to use SAP Business Workflow, the same reports are processed with the corresponding workflow templates. For more information, see General Workflow for Documents.

·        Employees can use the Web application to view their time balances. These are the same balances that are downloaded at the terminals.

·        The clock-in/out corrections are edited in a weekly overview in which the employees can view the time and date of the time events at a glance.

¡        The weekly overview is always related to one week. You can set the first day of the week and the portion of the day that is displayed for groups of employees.

¡        In the header row of the data entry area, employees can check the work schedules that apply on that day. If there is more important information for a particular day (such as vacation), it overwrites the work schedule information.

Partial-day absences without clock times are displayed in a separate line in the header of the data entry area.

¡        When users enter clock-in and clock-out times, the system provides dynamic default values determined according to the cursor position in the application and the position in relation to the work schedule.

·        If you have not connected an approval procedure, you can define in Customizing that time evaluation is to be started for the employee after data has been saved. This enables the employee to check immediately whether or not the correction has been made when he or she starts the application again to see any time evaluation messages that have been generated. If you use this function, note that the response times might be slower when data is being saved.

·        You can use Business Add-Ins (BAdIs) to customize the Web application to suit your requirements.

Prerequisites

·        You implement Time Evaluation for SAP Time Management.

·        You use the HR-PDC interface to transfer employees’ clock-in/out entries from an external time recording system to the SAP system. You have made the relevant Customizing settings in Customizing for Personnel Time Management by choosing Personnel Time Events ® Personnel Time Events.

·        As an alternative to external time recording systems, you can also use the Clock In/Out Web application, in which employees clock in and out using the Enterprise Portal.

·        You have configured the Clock-In/Out Corrections Web application. For more information, see the Customizing for Personnel Management by choosing Employee Self-Service ® Service-Specific Settings ® Working Time ® Clock-In/Out Corrections.

·        You have made the following settings in the Communication infotype (0105) for all employees:

¡        You have specified the system user name in subtype 0001 (System User Name SAP System (SY-UNAME)).

¡        You have stored the e-mail address in the subtype 0010 (E-Mail).
