Use

This Employee Self-Service (ESS) enables employees to record their working effort, based on cost objects, in accordance with legal requirements in the United States. It provides functions to simplify planning and recording of working effort. All functions can be accessed from the homepage of the Web application for Effort Reporting.

The Web application takes you through the following processes:

 

·        Planning – Create plan, change plan, display plan

·        Certification

 

The planning and certification steps can also be carried out by the relevant manager.

 

Procedure

You carry out the process steps as described in the following:

Planning

You first have to create a plan of your working effort, as follows:

       1.      Select Planning Period

You select the relevant payroll period for reporting, based on a payroll area. You then proceed to Create Plan by choosing the Next Step pushbutton.

       2.      Create Plan

You maintain the cost distribution for each position by selecting the relevant position and cost elements, and entering the cost distribution percentage and effort percentage, in order to distribute your salary to the cost elements.

The total cost distribution percentages and effort percentages have to add up to 100%. If they do not, an error message is displayed.

When you have created a plan, you can review it by choosing the Next Step pushbutton.

       3.      Review Plan

You can check the data entered, and change it, if necessary. If the data is correct, you can proceed to Confirmation by choosing the Finish pushbutton.

       4.      Confirm Plan Creation

The message Plan was successfully created is displayed. A payroll run is then performed.

You can subsequently display or change the plan, if required.

 

Certification

After the payroll run has been performed, you have to confirm the actual time worked. The planned data is displayed with the old cost distribution percentage and old effort percentage. You enter the actual data in the New cost distribution percentage and New effort percentage fields. If there is a difference between the actual cost distribution and the actual effort percentage values, you have to enter a variance code or reason for the difference. A retroactive payroll run is triggered if the old cost distribution percentage and the new cost distribution percentage are not same.

You then review and confirm the certification, and the message The certification was successfully created is displayed. The workflow HRUSEFRA ‘Workflow to approve employee's actuals in Effort Certification’ is then triggered to notify your manager that their approval is required.

Prerequisites

Before you execute the Web application for Effort Reporting, you have to carry out the IMG activities in Customizing for Personnel Management by choosing Employee Self-Service ®Service-Specific Settings ®Working Time ®US-Specific Services ® Effort Reporting.
