Function documentationException Workbench

 

You use this function to process exceptions from different business areas for different locations, products, and order proposals. In general, you only need to be able to access exceptions that relate to your tasks, as opposed to all exceptions. In the Exception Workbench you can make certain settings that allow you to access a pool of exceptions that is relevant to your area of responsibility. You can define your worklist using technical and business-based criteria.

Prerequisites

  • Exceptions exist in the system.

  • You have made a selection.

Features

You can use the following functions in the Exception Workbench:

  • Configure hierarchy of the navigation tree

  • Switch between display and change mode

  • Subscribe to exceptions

  • Display exceptions

The Exception Workbench screen is divided into two parts:

Navigation Tree

The system displays the business objects that are linked to the exceptions from the selection result in groups in a navigation tree.

You can adapt the navigation tree to your specific requirements, including hiding it completely. The system displays the following business areas in the navigation tree:

  • System Administration

  • Customizing

  • Master Data

  • Demand Influencing Factors

  • Inventory Management

  • Consumption

  • Forecast

  • Replenishment

  • Requirement Quantity Optimization

  • Order Proposal Management

  • Order Proposal Release Management

In the navigation tree in the Exception Workbench, the system displays the business objects selected on the basis of your criteria for each business area (and subdivided further according to the corresponding settings). To configure the navigation tree you have the following selection options:

  • At node hierarchy level:

    Business area, salesperson, ship-to party, process runtime, product number, exception generating process, merchandise category, order proposal number, replenishment planner, vendor and vendor subrange.

In addition to the standard functions, in the screen area of the navigation tree you can use the following functions:

  • Configure navigation tree

  • Define worklist selection

Exception List

In the exception list, the system displays exceptions that you selected in the navigation tree. From the exceptions displayed, you can evaluate the consequences of each exception.

Exceptions can be linked to one or more low-level exceptions. If the listed exceptions are linked to low-level exceptions, you can assume that there are technical reasons for these exceptions.

By default, the system displays the corresponding exceptions selected in the navigation tree in the SAP List Viewer. You can change the exception list view. In addition to the standard functions, you can use the following functions in the screen area of the exception list:

  • Change/select layout

  • Hide exceptions depending on the priority

  • Hide exceptions depending on the order proposal relevance

  • Send e-mail

You classify exceptions in the exception list by levels:

  • High-level exceptions

    In the exception list, the system displays high-level exceptions that occurred and that are assigned to the business area you selected in the navigation tree.

  • Low-level exceptions

    If the system displays an icon for an exception in the Low-Level Exceptions Assigned? column (VA), you can go from the exception to one or several assigned low-level exceptions.

The system displays the following message types with a symbol in the Exception Workbench:

  • Information message

  • Error message

  • Warning

  • Termination message

You can change the status of an exception by setting a flag in the Exception Status column. The flagged exception is given the status Processed and is released for deletion.

You can hide exceptions that are temporarily of no interest to you until a follow-up date that you define yourself. You can enter a follow-up date for each exception. This follow-up date is user-dependent. The system therefore does not hide the exception from other users. For each exception, the system also displays the creation date and the name of the user who was logged on when it was created.

If exceptions are relevant for third parties (for example, users who do not use SAP F&R) you can forward these by e-mail.

Activities

  1. You select an overall alert profile and a selection variant.

  2. You have the system determine the relevant exceptions.

    Configure your worklist so that the number of results in it is not too large. For technical reasons, only a limited number of nodes can be selected in the navigation tree.

  3. You select the required object node in the navigation tree.

  4. The system displays the assigned exceptions in the exception list.

  5. You hide low-priority exceptions.

  6. You check and process the exceptions.

  7. If low-level exceptions are related, you use them to analyze the causes behind the exceptions that have occurred.

  8. If you want to release the relevant exception in the list for deletion, you set the flag in the Message Status column.

  9. If the selected exception is currently of no relevance to you, enter a Follow-Up Date and save your entry.

Example

Excessively high level of stock based on the proposed order quantity

If very high order quantities far exceed the usual stock of a product, the system automatically issues a warning. A combination of the following can lead to an excessively high order quantity:

  • Positive trend

  • Sales promotions

  • Price markdowns

  • Special events in the yearly calendar

  • Optimization over a large number of demand periods

  • High minimum stock level

You define the maximum stock level for a product in the master data. If, despite the warning message, you think that it makes business sense to continue processing the business object, you set a flag against the relevant exception in the Exception Status column. The system sees that the message status is Processed and deletes the exception during the next reorganization run.
