Use

This section describes how you convert requisitions to which a source of supply has already been assigned into purchase orders.

The following steps are necessary when converting requisitions into Enjoy POs:

Prerequisites

A source has been assigned to the requisitions you wish to convert into POs.

You can convert requisitions into POs as follows:

This means that you manually create POs from a list of requisitions with assigned sources.

Procedure

  1. Choose Requisition ® Follow-on functions ® Create purchase order ® Via assignment list.
  2. The screen enabling you to enter selection criteria for the requisitions to be processed appears.

  3. Enter the selection criteria for the requisitions you wish to process. For example, enter the purchasing group key to list all requisitions that have been assigned to your purchasing group.
  4. Click This graphic is explained in the accompanying text. You obtain a list sorted by vendor. You see how many of your purchasing group’s requisitions have been assigned to each vendor.
  5. Position the cursor on the desired line and choose Process assignment to create purchase orders.
  6. In the following window, enter the necessary data (e.g. order type) and choose This graphic is explained in the accompanying text.

This invokes the function for creating Enjoy purchase orders.

Proceed as described in the section Further processing of purchase requisitions.

This involves assigning requisitions (from a list) to sources and then creating purchase orders. (This function is a combination of "assigning purchase requisitions" and "further processing of requisitions via assignment list".)

Procedure

  1. If you wish to perform both functions in a single step, choose Requisition ® Follow-on functions ® Assign + process.
  2. On the selection screen, enter the criteria for selecting the requisitions to be processed and choose This graphic is explained in the accompanying text.
  3. Select the desired purchase requisition. To assign a source, choose either Assign automatically or Assign manually.
  4. Choose This graphic is explained in the accompanying text Assignments, to access the Assignment Overview screen.
  5. Position the cursor on the desired line and choose Process assignment to create purchase orders.
  6. In the following window, enter the necessary data (e.g. order type) and choose This graphic is explained in the accompanying text.

This invokes the function for creating Enjoy purchase orders.

Proceed as described in the section Further processing of purchase requisitions.

Activities

Further Processing of Purchase Requisitions (i.e. Conversion into Purchase Orders)

The open purchase requisitions are displayed in the document overview for the Enjoy purchase order.

  1. Select one or more requisitions that you wish to process and either choose This graphic is explained in the accompanying text or drag them onto the shopping cart symbol (This graphic is explained in the accompanying text) to convert them into a PO.
  2. Note

    If you have set up the document overview appropriately, you can now display data such as the requisition item, the material, and the requested quantity there.

  3. Check the data and make any necessary changes. Then click This graphic is explained in the accompanying text to save the PO.

Result

The POs generated today are displayed in the document overview along with the processed and open purchase requisitions.

Once you have converted the chosen requisitions into POs, you are automatically returned to the function with which you began assigning or further processing requisitions.

Note

If you order a partial quantity only (i.e. just part of the total quantity requested in a requisition), the requisition will continue to be shown as "open" until such time as the entire quantity requested has been ordered or until the requisition has been flagged as Closed on the Delivery Schedule tab page in the purchase order. To flag a requisition as "closed" in this way, click the desired delivery schedule line in the Requisition closed column. The This graphic is explained in the accompanying text symbol shows that the associated requisition is closed.

Alternatively, you can select the Closed indicator on the Quantities and Dates tab page in the item details when changing a purchase requisition.
