To keep the memory required by report bodies in the document management system (DMS) (table DRAO) to a minimum, the graphics you insert should be optimized as far as possible. Note the following:

Reduce the color palette and resolution as much as possible and use the shades of gray format for monochrome graphics. Bear in mind that:

WWI increases or reduces the size of a graphic automatically

Note

Choose a high enough resolution so that a picture remains sufficiently sharp after the size has been increased automatically.

On the other hand, reduce any unnecessarily high resolutions if a picture is reduced in size in the report.

If you use condensed formats such as EMF, PNG, GIF, or JPEG, the file size of the generated report bodies is disproportionately large if graphics were inserted. For reasons of compatibility with other RTF display programs, the content of text boxes is saved twice in the RTF document on a WWI generation server with Microsoft Word 97, Microsoft Word 2000, or Microsoft Word XP. The second copy is saved in WMF (Windows Metafile) format and is responsible for the increase in file size.

To prevent Word from saving two copies of the graphic in the document, use the Word option in the registry of the generation server PC as follows:

Close all Microsoft Office programs and use the Windows program REGEDIT to add the option ExportPictureWithMetafile=0 as a string in the following branches:

HKEY_CURRENT_USER\Software\Microsoft\Office\10.0\Word\Options

HKEY_CURRENT_USER\Software\Microsoft\Office\9.0\Word\Options

HKEY_CURRENT_USER\Software\Microsoft\Office\8.0\Word\Options

For more information and an exact description of the necessary steps, see the Microsoft Knowledge Base articles Q224663 (Microsoft Word 2000) or Q262464 (Microsoft Word 97):

Caution

If the reports are to be viewed with display programs other than Microsoft Word 97, Microsoft Word 2000, or Microsoft Word XP, for example, in a Web environment, you must check the compatibility of the RTF documents.

You can create graphics that do not need to be checked in report management, such as your company logo, in the report template as phrase symbols with the expansion time Final report. This means the graphic is not added until the final report is generated and does not then place an unnecessary load on the document management system.
