Settling Planning Data for Orders and Projects

Use

You can settle planning data from internal orders and projects just like you settle actual data (see Settling Orders/Projects).

Prerequisites

You must define a settlement rule for the order or project. You can use the same settlement rule for settling both plan and actual data. For a detailed description of how to define a settlement rule, see CO Settlement. See also Project Settlement.

You must define a PA transfer structure and assign it to a settlement profile. You do this in CO-PA Customizing under Planning ® Integrated Planning ® Transfer of Order/Project Planning Data.

The version in which the data was planned (plan version or results analysis version, for projects for which results analysis has been performed) must be assigned to a receiver version in CO-PA in the relevant fiscal year (in Customizing for General Controlling under Organization ® Maintain Versions ® Settings by Fiscal Year ® Detail Screen).

Features

Two different functions are available for settling planning data from internal orders and projects - one for settling plan-integrated objects and one for transferring projects which are not plan-integrated. If results analysis has been carried out for the object you are settling, the system settles the results, otherwise all the plan costs and revenues are settled. The following table gives you an overview of which function to use when:

Integrated planning makes it possible for all plan allocations (cost element and activity input plan, assessment, and so on) to be updated automatically on the sender or receiver cost center or process. For more information on this, see Integrated Planning of Internal Orders.

Of the alternatives for projects listed above, settlement of plan-integrated projects without a results analysis key and transfer of projects that are not plan-integrated with a results analysis key are the standard uses. An example of a situation where you might use the former is a marketing event, where no revenues are generated and where the integration with Cost Center Accounting is required for calculating activity prices in the participating cost centers. The latter, on the other hand, could be used for construction of a power plant, where the costs were planned at the network level. Since networks are not plan-integrated, the entire project is not plan-integrated.

Activities

Setup

Before you can settle or transfer plan costs, you need to carry out the following steps:

The costs and revenues of the internal order or project must have been planned.
For projects that require results analysis, the plan results analysis must already have been carried out.

Plan Settlement

The functions for settling order and project planning data are found in the CO-PA application menu under Planning ® Integrated planning ® Transfer order/project plan. These functions can only be used with plan-integrated internal orders and projects. In CO version maintenance for the settings by fiscal year, the "Integrated planning" flag must be selected for both the sender object and the CO version in which the settlement is carried out. For projects, the individual WBS element also must be plan-integrated.

When you settle planning data, the sender objects are credited.

Planning Data Transfer

The functions for transferring project planning data are found in the CO-PA application menu under Planning ® Integrated planning ® Transfer order/project plan. These functions are only supported for projects with a results analysis key that are not plan-integrated.

This function makes it possible to take your planned projects into account in your profit plan. When you transfer planned project data, the sender project is not credited.
