Prerequisites

The roles for which you want to set up MiniApps are defined.

Procedure

You can set up MiniApps so that:

All users receive the same data in the MiniApp:

  1. Enter the desired selection conditions in the selection screen of the report. Set the Save Extract indicator and do not enter a user
  2. Save these selection settings by choosing This graphic is explained in the accompanying text. For detailed information, see Structure link Creating Report Variants from step 6 onwards.
  3. Create the extract by executing the report. SAP recommends executing the report on a regular basis (such as once a day or overnight). You can Structure link schedule a background job for this purpose.
  4. Choose System ® Services ® Reporting. Call up report SAPRCKAPP02. Enter the name of your report and the variant that you defined for this report. Do not select the indicator Select user-dependent. Save this selection as a variant. SAP recommends giving this variant the same name as the variant of the report for the MiniApp.
  5. If the Update button indicator is selected, the MiniApp user is given the option of creating a new extract. This is then displayed for all users with the same authorization (role). The extracts are not saved as versions (each new extract overwrites the previous one).

  6. Choose Tools ® Administration ® User Maintenance ® Roles (PFCG). Enter the name of the role for which you want to set up the MiniApp, and choose Change. Choose Goto ® MiniApps. If multiple MiniApps were set up for the role, you receive a table containing all assigned MiniApps. Double-click in the line with the MiniApps to be set up. The detail screen appears. Under URL, enter the variant that you created for report SAPRCKAPP02 as a variant parameter. You can find more information in the mySAP.com Workplace documentation under Add Mini-Apps.

You must carry out the following steps for each user :

SAP recommends not selecting the Select user-dependent indicator. Save this selection as a variant. SAP recommends giving this variant the same name as the variant of the report for the MiniApp.

You only use one role, but create a separate extract for each user:

You can create these extracts in two ways. You can write a program that creates the extracts by executing the program multiple times (once for each user), or you can manually execute the report for each user.

If you use a program, the program writes the data to be entered in the selection screen for the respective user in table TVARV (from which the data is determined through the variant during execution of the report) each time before the report is called up. This way, the program generates an extract for each user containing only the information important for that user.

  1. In the selection screen of the report, enter the selection conditions that should be the same for all users. Set the Save extract indicator and do not enter a user.
  2. Save these selection settings by choosing This graphic is explained in the accompanying text. You can find more information under Structure link Creating Report Variants from step 6 onwards. Select the field Selection for Users and the fields in which the information should vary for the users as Structure link selection variables.

Example

You select the Material number field as a selection variable and have the program write the respective material number intervals (that are maintained by the individual users) in table TVARV.

If you want to create the extracts manually, execute the report for each user and make the appropriate changes to the selection settings before each execution. Save the respective settings as variants before executing the report. For each extract (user), use the same name of the variant.

  1. Choose System ® Services ® Reporting. Call up report SAPRCKAPP02. Enter the name of your report and the variant that you defined for this report. Select the Select user-dependent indicator. Do not select the Update button active indicator. Save this selection as a variant. SAP recommends giving this variant the same name as the variant of the report for the MiniApp.
  2. Choose Tools ® Administration ® User Maintenance ® Roles (PFCG). Enter the name of the role for which you want to set up the MiniApp, and choose Change. Choose Goto ® MiniApps. (If multiple MiniApps were set up for the role, you receive a table containing all assigned MiniApps. Double-click in the line with the MiniApps to be set up.) The detail screen appears. Under URL, enter the variant that you created for report SAPRCKAPP02 as a variant parameter. You can find more information in the mySAP.com Workplace documentation under Add Mini-Apps.

In this case, the user cannot call up an update of the MiniApp because the last selection settings of the variant for generation of the extract are always used with an update. These are, most likely, not the settings for the user who calls up the update. Hence, the user does not receive the desired update but rather an update that he did not call up whose data was last used in the variant.
